Job Summary The Sr Administrative Assistant performs a variety of administrative tasks supporting leader(s), typically vice presidents, and/or large complex departments, acting as a liaison with other departments and external contacts in order to meet business objectives. This role will provide office coverage in Providence for up to 5 days per week, and may be required to work from the Canton office as needed. Candidate must have ability to work with sensitive information and provide exceptional customer service.

  • Proficiency in Microsoft Office Suite: Outlook, Word, Excel, PowerPoint, and Teams.

  • Requires excellent interpersonal and customer service skills to interact effectively with all levels of management, departmental staff, internal and external contacts.

  • Ability to prioritize work tasks within set protocols and procedures.
  • Must be able to work under normal office conditions and work from home as required.
  • Work may require simultaneous use of a telephone/headset and PC/keyboard and sitting for extended durations.
  • May be required to work additional hours beyond standard work schedule.
  • At least 2 years of related office experience

Responsibilities

  • Maintains complex calendars; schedules and coordinates internal and external appointments/meetings, including scheduling and setting up virtual teleconferences and in-person conferences. Resolves calendar schedule conflicts within guidelines set by calendar owner.
  • Monitors budget, tracks spending, and researches variances.
  • Answers and screens internal and external calls and direct to the appropriate people/area, including email management and general reception. Takes accurate messages and researches the background of various calls to ensure the caller is contacting the correct person.
  • Drafts, proofreads, and edits correspondence as well as departmental documents, including sending correspondence electronically and/or by mail. Types, produces, and/or distributes letters and correspondence that may include minutes, memos, reports, manuals, PowerPoint presentations, contracts, logs, and technical documents. Proofreads such documents to check for typographical, grammatical, and usage errors and makes necessary revisions to achieve consistency and clarity.
  • Completes data entry of confidential member information into multiple databases. Generates simple to complex reports for management. Utilizes the appropriate software program on the personal computer. Develops presentation materials, assists in special projects; create and or maintain spreadsheets, presentations, and departmental databases. Draft and compile reports including department documentation and materials. Assists with training and onboarding new administrative hires; provides coverage when other assistants are away.
