About The Position

The Senior Administrative Assistant supports the efficient operation of Eddy Senior Care PACE by managing and maintaining electronic medical records (EMR), coordinating participant appointments, and ensuring compliance with regulatory and organizational standards. This role secures and organizes protected health information, processes documentation accurately, and serves as a key liaison between providers, participants, interdisciplinary team members (IDT), transportation staff, and external health systems.

Requirements

  • Associate Degree required (related experience may substitute).
  • Minimum 2–4 years of experience in a medical setting preferred.
  • Strong interpersonal, organizational, and time management skills.
  • Proficiency in computers and EMR systems.
  • Knowledge of medical terminology and understanding of healthcare regulatory requirements.

Responsibilities

  • Maintain, organize, and secure electronic medical records in accordance with Agency policies, HIPAA, and regulatory requirements.
  • Process documentation into the EMR accurately and in a timely manner.
  • Coordinate specialist visits, diagnostic tests, and expedited imaging—including scheduling, notifying participants and IDT, arranging transportation, updating calendars, and documenting all actions in the EMR.
  • Track and obtain specialist notes, test results, and documentation to ensure timely record completion.
  • Access HIXNY and other EMRs (SPHP, Ellis, Baptist, etc.) to retrieve medical history, immunizations, results, and hospital admission/discharge updates; maintain and maximize use of the HIXNY whitelist.
  • Verify and document active orders and authorization numbers for services and procedures.
  • Assist with correcting medical record errors and participate in record audits as requested.
  • Collaborate with colleagues and departments to resolve issues, support workflow, and meet participant and provider needs.
  • Apply understanding of PACE, LHCSA, Article 28 regulations, participant rights, HIPAA, consents, and advance directives.
  • Serve as backup for Medical Records team members, the Clinic Administrative Liaison, and reception as needed.
  • Record and report participant/caregiver complaints for leadership follow up.
  • Track missed or rescheduled appointments and partner with leadership to improve appointment completion rates.
  • Coordinate both internal and contracted transportation.
  • Perform general office duties including scanning, filing, faxing, and participant appointment reminder calls.
  • Provide HIM support, including authorizations for dialysis, inpatient, and emergency services.
  • Support Enrollment/Disenrollment functions, including gathering prior records, updating EMR/HIXNY/EPIC/PCC, and processing ID card information.
  • Generate monthly Emergency Rosters including acuity and TALS levels.
  • Manage Health Alert documentation for new enrollees, unit type changes, and discontinuations.
  • Perform other duties as assigned.
