About The Position

The Sr Administrative Assistant for Talent Acquisition helps manage key stages of the recruiting process for our executive recruiting team. This person will be the “go to” for interview scheduling and ensuring a great experience for candidates and hiring leaders. You will report to the Sr. Manager of Executive Recruitment and be based at our Lake Forest, IL headquarters. We have a hybrid work environment, and you will need to be present at the office 2 days per week.

Requirements

  • Bachelor's degree (preferred), or equivalent experience.
  • 5+ years of administrative support experience, including experience within a corporate environment.
  • Prior support within talent acquisition / HR helpful.
  • Ability to work with confidential or sensitive information with discretion.
  • Project management abilities including documentation and prioritization, with a lens for ongoing process improvements.
  • Ability to build strong partnerships with stakeholders at various levels, and influence where necessary to prioritize the hiring process.

Responsibilities

  • Coordinate all scheduling for executive level recruitment - candidate interviews, travel arrangements, debriefs, and other search-related meetings.
  • Frequently collaborate with candidates and executive assistants to complete interview schedules within needed timelines.
  • Act as a point-of-contact to ensure a seamless interview process, and create a great experience for candidates while on-site at our campus.
  • Complete and document various executive search processes - interview and debrief schedules, offer letters, pre-employment processing, and candidate assessment tracking.
  • Identify and offer recommendations to enhance processes and create efficiencies.
  • Manage reports associated with recruitment.
  • Work with data from multiple sources including SuccessFactors, Excel, and PowerBI.
  • Respond to ad hoc reporting requests.
  • Partner with vendors and procurement teams to manage invoices and candidate expenses.
