About The Position

We are seeking a highly organized and proactive Sr. Administrative Assistant to support multiple Vice Presidents (VPs) within the US Commercial region. This role requires a detail-oriented professional with strong communication skills, excellent multitasking abilities, and the ability to work independently while managing a wide range of administrative and executive support tasks.

Requirements

  • Proven experience as a Sr. Administrative Assistant or in a similar role supporting senior leaders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (MS Teams, Zoom, Webex).

Nice To Haves

  • Experience using Concur and SAP systems.
  • Bachelor's degree or equivalent professional experience.
  • Experience coordinating travel and managing expense reports for senior executives.
  • Familiarity with event planning and vendor management.
  • Team-oriented with strong interpersonal and collaboration skills.
  • Willingness to travel occasionally as needed.

Responsibilities

  • Coordinate and manage complex calendars, schedule meetings, appointments, and conferences, and prioritize requests based on urgency and importance.
  • Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries. Handle last-minute changes and cancellations efficiently.
  • Manage corporate card expenses and prepare accurate expense reports using Concur. Ensure compliance with company policies and reconcile expenses regularly.
  • Organize meetings via MS Teams, Webex, or Zoom. Prepare agendas, take minutes, and follow up on action items. Arrange conference calls and video meetings as needed.
  • Plan and execute team offsite meetings, events, and social gatherings. Coordinate logistics, venue bookings, catering, and other event-related tasks.
  • Use SAP to create vendor accounts and process purchase orders. Track approvals and ensure timely payments and accurate records.
  • Process and track invoices, resolve discrepancies, and maintain accurate financial records and vendor communications.
  • Perform additional administrative tasks as assigned.
