About The Position

We are seeking a compassionate and detail-oriented Clinical Assistant / TMS Coordinator to join our growing behavioral health team. This role plays a vital part in supporting the delivery of Transcranial Magnetic Stimulation (TMS) and Spravato treatments, helping patients on their journey toward better mental health. As a Clinical Assistant / TMS Coordinator, you will manage patient care logistics, coordinate schedules, assist during treatments, and ensure smooth clinical operations. You’ll work closely with our clinicians and administrative team to provide exceptional patient experiences, uphold compliance standards, and support the efficiency of our TMS and Spravato programs.

Requirements

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in a healthcare-related field preferred.
  • Previous experience in a clinical or healthcare setting, preferably with patient coordination or direct patient care.
  • Working knowledge of medical terminology and clinical processes.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in electronic health records (EHR) systems and office software.
  • Demonstrates initiative, accountability, and problem-solving skills.
  • Communicates effectively and confidently with physicians and team members.
  • Operates with a “patient first” mindset and consistently delivers compassionate care.
  • Highly detail-oriented and committed to compliance and accuracy.
  • Physically able to stand for extended periods during treatment sessions.
  • Maintains professionalism, integrity, and a strong work ethic in all interactions.

Nice To Haves

  • Certification or prior training in Transcranial Magnetic Stimulation (TMS).
  • Experience with TMS or Spravato protocols and equipment.
  • Background in mental health or neurology clinical environments.
  • Familiarity with insurance billing and authorization processes.
  • Excellent communication and interpersonal skills for patient education and support.

Responsibilities

  • Coordinate and schedule TMS and Spravato therapy sessions, optimizing clinical resources and patient convenience.
  • Assist clinicians during TMS treatments by preparing equipment, monitoring patients, and documenting sessions accurately.
  • Manage patient intake, including assessments, consent forms, and insurance verification.
  • Maintain accurate and confidential patient records in compliance with HIPAA and organizational policies.
  • Serve as a liaison between patients, clinicians, and administrative staff to facilitate clear communication and timely follow-up.
  • Monitor and maintain TMS equipment, coordinating servicing or repairs when necessary.
  • Provide patient education regarding TMS and Spravato procedures, expectations, and post-treatment care.
  • Support authorization management, including obtaining and maintaining prior authorizations for treatments.
  • Assist with Spravato consults, medication ordering, and maintaining compliance with REMS, DEA, and Med Log audits.
  • Perform office administrative duties such as answering phones, managing leads, collecting copays, organizing records, and reporting key metrics to leadership.
  • Contribute to quality assurance initiatives, including data collection and chart audits.
