About The Position

Austin PBS and Texas PBS are seeking a highly organized, detail-driven Sponsorship Operations Coordinator to power the execution of sponsorship campaigns across both stations. This is a critical, cross-functional role that ensures every sponsorship agreement moves seamlessly from order entry to execution, reporting, reconciliation, and billing. If you thrive on building systems, managing details, and keeping complex projects moving forward, this role offers the opportunity to directly support revenue growth and community partnerships that strengthen public media across Texas. The Role The Sponsorship Operations Coordinator owns the operational lifecycle of sponsorship campaigns for Austin PBS and Texas PBS. Working closely with Production, Traffic, Marketing, Digital, Finance, and Sponsorships, you will ensure campaigns are launched accurately, delivered on time, and fully reconciled and billed. This is a hands-on coordination role where precision, follow-through, and cross-team communication are essential. Your work creates the operational foundation that allows sponsorship leaders to focus on relationship-building, revenue growth, and deepening community impact.

  • Ability to manage multiple projects and deadlines simultaneously across two stations
  • Clear, collaborative communication skills
  • Confidence working cross-functionally with multiple departments
  • Proficiency with spreadsheets, shared drives, and project tracking tools, with the ability to quickly learn new systems

Nice To Haves

  • 3–5 years in nonprofit development, media sponsorships, underwriting, or campaign operations
  • Familiarity with broadcast or digital campaign workflows
  • Understanding of compliance-based communications environments
  • Experience with inventory management systems
  • Experience with tools such as Airtable, WideOrbit or other broadcast traffic systems (Protrack), Google Analytics, Nielsen, and Salesforce

Responsibilities

  • Enter and manage sponsorship orders in internal systems
  • Create and maintain contracts, deliverables, and campaign documentation
  • Manage sponsorship inventory across broadcast, digital, and event platforms, ensuring real-time visibility of availability
  • Maintain centralized digital campaign folders with all assets, approvals, and reporting materials
  • Oversee timelines and confirm all required materials are received prior to launch
  • Coordinate across departments to ensure smooth, on-time campaign execution
  • Receive traffic instructions and creative assets from the sponsorship team
  • Partner with Production to develop sponsorship spots, ensuring speed and high-quality output
  • Route materials for internal review and underwriting compliance approval
  • Submit completed spots for client approval
  • Prepare and distribute traffic instructions for Austin PBS campaigns
  • Confirm campaigns launch as planned and troubleshoot issues as needed
  • Collect affidavits, impression reports, and proof-of-performance documentation across broadcast, digital, and events
  • Reconcile deliverables against sponsorship agreements
  • Partner with Finance to process invoices and support monthly billing schedules
  • Assist with sponsor recap materials and performance summaries
  • Maintain trackers for inventory, campaign status, and deliverables across both stations
  • Ensure accurate documentation and recordkeeping
  • Identify and implement process improvements that increase consistency, efficiency, and scalability
  • Schedule reporting and billing reminders to maintain reliable timelines
