JOB RESPONSIBILITIES: · Operational § Direct and supervise all outpatient and specialty pharmacy operations, ensuring safe, timely, and accurate dispensing of medications § Develop and implement workflow processes to optimize efficiency and patient satisfaction. § Ensure compliance with Tennessee Board of Pharmacy, DEA, FDA, OSHA, Joint Commission, and specialty accreditation standards (URAC/ACHC.) § Monitor operational KPIs including turnaround time, adherence rates, abandonment rates, and financial performance metrics. § Partner with IT and revenue cycle teams to optimize specialty pharmacy systems, claims adjudication, split-billing, and reimbursement accuracy. · Staff Management & Leadership § Recruit, hire, train, and evaluate outpatient pharmacy staff. § Schedule and assign duties to pharmacists and technicians to ensure adequate coverage. § Provide ongoing staff development, mentorship, and performance feedback. § Foster a collaborative, supportive, and patient-focused work environment. · Employee Relations § Recruits, selects, trains, and supervises outpatient pharmacy staff. § Actively recruits potential employees for the outpatient pharmacy department. § Interviews and selects department staff properly. § Orients and trains new employees for the department. § Helps plan and provide educational opportunities for pharmacists and technicians within the department. § Arranges work schedules and assigns employees to appropriate areas to maximize efficiency and meet business needs. § Prepares employee performance appraisals according to designated schedules and reviews with employees. § Consults with Human Resources Department on serious disciplinary matters. § Conduct performance evaluations and manage disciplinary actions in collaboration with Human Resources. § Initiates disciplinary action or termination according to Hospital Authority Rules and Regulations § Maintains appropriate documentation. · Vendor Relations § Develop and manage strategic relationships with specialty pharmacy vendors, including wholesalers, limited distribution drug manufacturers, technology platforms, and third-party support programs to maximize operational and financial performance. § Monitor vendor performance metrics including turnaround times, reimbursement accuracy, inventory access, patient support services, and contractual compliance. § Collaborate with pharmacy director to review and evaluate vendor agreements, identify cost-saving opportunities, and ensure alignment with organizational goals and accreditation standards (URAC/ACHC if applicable). § Partner with manufacturers and HUB programs to streamline patient enrollment, financial assistance access, and limited distribution medication procurement. § Conduct regular performance reviews and business meetings with vendors to ensure continuous improvement and measurable value to the specialty pharmacy program. · Inventory Control § Implement inventory controls to optimize on-hand quantities based on referral pipeline, prior authorization approvals, and patient onboarding timelines. § Ensure proper storage and handling of specialty medications, including cold-chain management, temperature monitoring documentation, and compliance with manufacturer requirements. § Maintain strict oversight of controlled substances, including secure storage, perpetual inventory reconciliation, DEA compliance, and narcotic chain-of-custody monitoring. § Coordinate the safe and compliant disposal of expired, damaged, or unusable medications through appropriately certified reverse distributors and vendors. § Oversee regular cycle counts, audits, and discrepancy investigations to reduce shrinkage and maintain financial integrity. § Submit occurrence and incident reports to Compliance and Pharmacy Leadership for review, corrective action, and regulatory reporting when required. § Partner with finance and 340B (if applicable) teams to ensure accurate inventory tracking, split-billing compliance, and cost containment strategies. · Professional Consultation and Collaboration § Collaborate with physicians, advanced practice providers, nurses, and clinic staff to optimize specialty medication therapy, including dosing, side effect management, adherence strategies, and monitoring parameters. § Accurately enters data into pharmacy system, verifies charges and ensures accurate and timely preparation, dispensing, and delivery of medication orders. § Verify prescription orders for clinical appropriateness, payer compliance, and financial clearance prior to dispensing high-cost specialty medications. § Counsel patients and/or family on medications to be taken after discharge. § Provide comprehensive patient and caregiver counseling at therapy initiation and refill, including administration training (injectables, biologics, oral oncolytics), side effect mitigation, storage requirements, and adherence support. · Financial & Strategic Planning § Function as a value-added business partner to stakeholders throughout the organization. § Monitor financial performance and control costs within the department. § Assist in developing the pharmacy’s annual budget. § Identify opportunities for revenue growth and service expansion (e.g., specialty pharmacy, immunizations). § Lead or contribute to projects that support the hospital’s strategic goals. · Compliance and Quality § Assist with compliance w/ regulations set forth by the Tennessee Board of Pharmacy, the Joint Commission for the Accreditation of Healthcare Organizations, the Drug Enforcement Administration, the Food and Drug Administration, the Occupational Safety and Health Administration, the Tennessee Occupational Safety and Health Administration, and the Centers for Disease Control, among others. § Ensure regulatory requirements are met in delivery of pharmacy services in all areas of practice. § Keeps records of all interactions with any regulatory bodies and reports those to the Director of Pharmacy promptly. § Monitor medication error reports and adverse drug events; implement corrective measures. § Develop and track quality improvement initiatives and KPIs. · Program Development & Implementation: § Leverage specialty pharmacy liaison and provider relations to ensure consistent specialty referral growth. § Review referral workflow processes to ensure efficiency is maintained with volume increases. § Collaborate with Director to provide updates on state of business and relay pertinent information about growth trends. · Training § Keeps informed of new drugs and innovations in the pharmaceutical field; maintains an up-to-date drug information service; stays abreast of current literature and provides information to medical staff; serves as a resource for the professional staff and answers technical pharmaceutical questions; develops protocols to monitor drug therapy. § Assists the pharmacy director in evaluating the need for and appropriateness of reference materials to support the informational and educational functions of the department. Recommends the acquisition of texts, journals, or related items for reference use. § Update knowledge by participating in educational opportunities; reading professional publications; maintaining networks; participating in professional organizations. · Outpatient Pharmacist Staffing o Staff in the outpatient pharmacy when the schedule requires o Accurately enters data into pharmacy system, verifies charges and ensures accurate and timely preparation, dispensing, and delivery of medication orders. o Verify clinical appropriateness of all medication orders prior to dispensing. o Review patient profiles for allergies, interactions, duplicate therapy, renal dosing adjustments, and high-risk medication concerns. o Collaborate with prescribers to resolve therapy concerns and recommend formulary alternatives. o Provide comprehensive counseling at therapy initiation and refill, including administration training, side effect management, storage, and adherence support. o Document all clinical interventions and maintain accurate patient profiles and specialty patient management program. o Verify prescription orders for clinical appropriateness, payer compliance, and financial clearance prior to dispensing high-cost specialty medications.. o Provide comprehensive patient and caregiver counseling at therapy initiation and refill, including administration training (injectables, biologics, oral oncolytics), side effect mitigation, storage requirements, and adherence support. · Perform other related duties as assigned or requested by supervisor.
