About The Position

CALDWELL MEDICAL CENTER JOB DESCRIPTION JOB TITLE: Specialty Clinic Supervisor DEPARTMENT: Caldwell Medical Associates – Specialty Clinic Offices (Orthopedics, Therapy, ENT, General Surgery, & Urology.) REPORTS TO: Specialty Clinic Manager SUPERVISES: Medical Assistants (MA) / Clinical Staff/ PAR Staff POSITION SUMMARY: Supervises MA clinic staff by assigning daily work, scheduling staff, and serving as liaison between Clinic Manager, Director of Operations, Providers, and staff. In addition, the Clinic Supervisor will work closely with Providers, Nursing staff, families, visitors and CMC Administration. POSITION RESPONSIBILITIES ESSENTIAL FUNCTIONS: Plans, coordinates and supervises the delivery of clinic MA services. Ensures compliance with government regulations. Hires and trains new staff. Represents clinic in meetings as needed. Works closely with providers and staff to deliver quality health care. Assigns work duties to all MA staff. Creates MA schedules. Approves staff time and attendance and minimizes overtime by management of staff. Monitors appointment schedules for maximum use of providers time and ease of scheduling patient appointments. Observes staff for productivity and efficiency. Looks for and implements improvements in workflow processes. Monitors supplies on hand and keeps minimum stock on hand. Interacts with customers to look for new business opportunities and maximize services offered. Completes employee evaluations. Counsels and disciplines employees per company policy. Resolves complex customer inquiries and staff complaints. Assists with creating budget and managing expenditures. Office coach and cheerleader for excellent customer service. Sets the example everyday of going above and beyond what is required. Approve deny punch change requests in Paycom. Approve or deny PTO requests in Paycom. Conduct Annual Evaluations for Medical Assistants with merit-based rate increases being approved only by the RHC Manager. Performs other duties as assigned. DEPARTMENT SPECIFIC COMPETENCIES: Demonstrates understanding of the patient registration process. Demonstrates understanding of the patient care functions required as a Certified Medical Assistant. Demonstrates advanced computer knowledge of systems and applications related to specific duties of job title. Demonstrates basic computer knowledge of systems and applications as related to all other staff. Demonstrates effective communication skills, both written and verbal. Successfully completes all required training and continuing education. Demonstrates excellent Guest Service skills. Clerical and analytical ability to be self-sufficient in performing assigned duties and maintaining confidential information. The Clinic Supervisor will act as the primary authority figure in the absence of the Specialty Clinic Manager. In the event that the Specialty Clinic Manager is out of the office and unavailable by phone, the Clinic Supervisor will have full autonomy to make decisions in the following areas: Staffing and coverage. Disciplinary actions resulting in a verbal warning. Day to day operations. Resolving issues and complaints from other departments in a prompt manner. Resolving issues and complaints from patients in a prompt manner. Approve or deny PTO requests. Approve or deny punch change requests in Paycom. Approve timecards during Payroll. Attend meetings in Specialty Manager’s Absence as assigned by the Specialty Clinic Manager. Conduct daily provider documentation report and submit findings to CEO, CFO, Revenue Cycle Director, and Health Information Manager. In the absence of the Specialty Clinic Manager, the Clinic Supervisor will consult the Director of Operations, CEO and/or Human Resources on the following matters: Provider PTO requests. Provider CME requests. Provider issues. Disciplinary actions resulting in a written warning or more. Contracts, written agreements, purchase requests, travel reimbursements.

Requirements

  • Certified Medical Assistant
  • 1-2 years experience in the clinic setting.

Nice To Haves

  • 2-5 years working in the clinic setting.
  • Experience with Kentucky Immunization Program, drug screens, and clinic processes.
