About The Position

The Specialist, Marketing Referral Programs plays a vital support role on the Acquisition Marketing Team during a temporary backfill period. This position helps ensure the operational and strategic success of Vistage's referral marketing efforts by managing administrative tasks, reporting and analysis, coordinating meetings, partnering with vendors and stakeholders, and providing both tactical and strategic ideation as needed. The role also supports digital marketing initiatives and broader departmental operations to ensure continuity during the leave coverage. This is a temporary opportunity estimated for a two-month period with one week of overlap training.

Requirements

• 2+ years of experience in marketing, program management, or related administrative support.
• Strong organizational and time management skills with excellent attention to detail.
• Analytical skills with experience in reporting, dashboards, or CRM tools preferred.
• Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with project management or marketing tools a plus.
• Strong written and verbal communication skills.
• Ability to manage multiple priorities independently while collaborating with cross-functional teams.

Responsibilities

• Provide day-to-day support to the referral marketing team, ensuring continuity of program operations.
• Assist in processing check requests and tracking referral fee payments.
• Maintain documentation and filing systems for referral program processes.
• Support departmental operations and digital marketing efforts as needed.
• Prepare and maintain weekly and monthly referral marketing reports.
• Input, track, and analyze referral data in CRM systems and spreadsheets.
• Compile and format dashboards to inform program performance and decision-making.
• Contribute to program ideation, tactical planning, and strategic brainstorming sessions.
• Assist in shaping and supporting new initiatives to enhance referral marketing effectiveness.
• Schedule and coordinate meetings related to referral marketing strategy and execution.
• Prepare agendas, capture meeting notes, and send follow-up communications.
• Track action items and ensure timely completion.
• Serve as a point of contact for outside vendors, partners, and internal stakeholders across the Vistage community.
• Coordinate communications to ensure alignment across referral program activities.
• Keep stakeholders informed about program timelines, deliverables, and outcomes.
