About The Position

The Maintenance Planning Specialist is responsible for planning and scheduling maintenance work within the petrochemical industry. This role involves liaising between Operations and Maintenance to ensure efficient scheduling of maintenance tasks, managing work requests, and ensuring compliance with safety standards. The specialist will handle the backlog of maintenance requests, convert notifications to work orders, and coordinate with contractors and subcontractors to execute maintenance plans effectively.

Requirements

  • High School degree is required; A.S./B.S. degree is preferred.
  • At least five years of experience and knowledge of petrochemical equipment such as exchangers, piping, pumps, compressors, instrument and electrical systems, and other related chemical process equipment is required.
  • SAP plant maintenance module experience is preferred.

Responsibilities

  • Receive maintenance work requests from Maintenance Supervision and Operations through the SAP Notification Process.
  • Evaluate critical information received on the Notification to ensure it meets the minimum standards and confer with Operations or Maintenance Supervision for any deficiencies.
  • Identify priority placed on work request, add request to backlog, and proceed accordingly.
  • Manage area of responsibility's backlog using SAP.
  • Convert Notifications received and evaluated to Work Orders.
  • Walk down each job request in its entirety prior to building job plan.
  • Build job packets per procedure, assigning appropriate work centers as needed.
  • Insure that all Safety aspects of planned work have been reviewed and appropriate Safety Non-Generic guidelines/equipment/PPE has been included in the job plans.
  • Eliminate Safety Hazards when planning jobs and document hazards that cannot be eliminated in Job Plan.
  • Save Job Plans in SAP or edit existing stored plans while building the job packets.
  • Order parts necessary to complete the job planned and expedite parts if necessary to meet the priority placed on the work request.
  • Set up GMN's (Westlake part numbers) and correct BOM's (Westlake Bill of Materials) if necessary while building job packets.
  • Work with Contractors to develop work scope and quote packages for vendor work and conduct pre-construction meetings as needed.
  • Schedule, coordinate, and procure all sub-contractor assistance, rental equipment, and/or specialty tools necessary to execute the job planned.
  • Receive all parts ordered, stage all parts for jobs planned, and return all unused parts to stores at the completion of all planned jobs.
  • Schedule and Lead a weekly maintenance meeting for assigned area of responsibility to communicate jobs that have been planned and pre-decided with Operations Maintenance Coordinator.
  • Communicate the job plan to the Execution Supervisor and walk through the job, if necessary, prior to the day work is scheduled to be executed.
  • Pass on the job packets and identify staging location of all parts to the Execution Supervisor.
  • Communicate schedule to operations and maintenance supervision and gain agreement for the published schedule.
  • E-Mail the Next Day's Work Schedule out by 1:00PM.
  • Receive completed job packets from Execution Supervisor and modify stored Job Plans according to feedback received from the mechanics that executed the job.
  • Close appropriate operations within the work orders in SAP as work is completed.
  • File all completed Job Acceptance Sheets for 7 days following the completion of each job executed.
  • Close all work orders within area of responsibility after all operations have been completed within the work order.
  • Assure all repairable parts removed from plant during planned jobs are sent to repair shop.
  • Update monthly measures as required.
  • Work with other planners for sharing task lists and stored plans to leverage knowledge where possible.
  • Use manuals, drawings, sketches, digital cameras and knowledge obtained through on-the-job experience to prepare manpower estimates and materials, special tooling, and equipment lists necessary for maintenance employees to properly perform their assigned tasks.
  • Follow all Occupational Safety & Health Act (OSHA) requirements and other safety procedures outlined in the TEX Authorized Safe Practice Manual and TEX Emergency Plan.
