About The Position

Housing & Food Services (HFS) has an outstanding opportunity for a Specialist For Conduct & Incident Response to join their team. PURPOSE Manages the Student Conduct and Incident Response program within Residential Life.

Requirements

Bachelor’s Degree
Three years of experience working in college housing, residential life, student conduct administration, or a related field
Equivalent combinations of education and experience may substitute for requirements
A satisfactory outcome from the employment reference check processes and education verification.

Responsibilities

Student Conduct Program Management (40%)
Manages the implementation of the Residential Life Student Conduct Process, including the Formal Hearing process, for an average of 450 annual reports involving 1100 individual cases
Reviews all student conduct records for completeness and accuracy, student wellbeing concerns, and federal reporting compliance (Clery Act, Title VI, Title IX) ensuring staff adhere to established guidelines
Leads the[LH2.1] student conduct case assignments process, delegating cases to Residential Life staff, and coordinating with staff to ensure balanced workloads
Facilitates high level/complex conduct meetings with students, emphasizing personal responsibility and an understanding of how one’s behavior impacts self and others
Develops and manages sanctioning guidelines for Residential Life staff based on student development theory and educational principles
Provides consultation to Residential Life staff on complex, high impact student conduct cases including educational sanctioning guidance in accordance with established Residential Life Conduct Process philosophy and guidelines, interpreting and applying program guidelines
Liaises on student conduct matters with other university offices including Community Standards & Student Conduct, Civil Rights Compliance Office, Disability Resources for Students, UWPD, and the Tri-Campus Conduct group
Develops and facilitates annual and mid-year hire conduct training for Residential Life staff and Student Leaders and additional responsive trainings based on evolving needs and trends
Chairs the Residential Life Conduct Committee.
Manages educational sanction workshops, trains workshop facilitators, coordinates workshop schedule, and facilitates workshops as needed
Participates in the hiring process for and collaborate with Alcohol and Drug Education Coordinators.
Serves as a respondent support person for students involved in conduct process
Manages the Housing Agreement Termination process as a result of conduct matters
Establishes and maintains the Residential Life Conduct Process Guide and other conduct publications including procedures manuals, forms, and website
Oversees billing process for monetary restitution and other sanction-related fees. Incident Response & Compliance Program Management (30%)
Manages the Incident Response program within Residential Life
Develops and facilitates annual and mid-year hire Incident Response Protocol training for Residential Life staff and Student Leaders and additional responsive trainings based on evolving needs and trends
Maintains and updates the Incident Response Protocol and other resources for on-call staff and Student Leaders including procedures manuals, forms, and SharePoint site
Tracks and provides updates to the Residential Life staff on changes to process, procedure, and policies to ensure compliance
Assesses Student Leader on-call operations; suggests and implements changes as needed [JR6.1]
Manages Service and Emotional Support Animal accommodations expectations process with residents, facilitating review and signature of the [JR7.1] UW HFS Housing Agreement Addendum. Administrative Management (15%)
Maintains confidential student conduct records in accordance with the Family Educational Rights and Privacy Act (FERPA) and the University of Washington’s Record Management Services Office
Coordinates the transfer and disposal of confidential student records in accordance with policies of the University of Washington’s Record Management Services Office
Manages conduct database and processes and develops additional resources as necessary to maximize systems efficiency and develop user guides for unit-wide implementation
Monitors and communicates critical database issues to supervisor and work with software vendor to resolve
Generates conduct reports including incident reports and hearing packets for records requests
Distributes daily campus safety reports to Residential Life staff
Reviews and ensures proper distribution and retention of Priority Documentation
Compiles data and submit quarterly and annual statistical reports regarding the conduct process
Evaluates the effectiveness of the Residential Life Conduct Process through assessment of annual reports, survey data, and staff input. Other Responsibilities (15%)
Participates in staff selection activities and training activities for Residential Life student leaders, office assistants, support staff, community managers, and other positions as needed
Participates in unit and HFS trainings, meetings, move-in and move-out activities as needed
Serves as a member of the Residential Life Team
Maintains an awareness of current issues and developments within the field of student affairs and student conduct
Serves on unit-wide committees as assigned
Performs other duties as assigned
