About The Position

The Financial Aid – Return of Title IV Funds (R2T4) Specialist is responsible for managing and ensuring compliance with federal regulations regarding financial aid eligibility when a student withdraws or experiences changes in enrollment status. This position oversees the calculation, processing, and reporting of R2T4 funds and manages post-withdrawal disbursements for eligible students. Additionally, the specialist evaluates the impact of changes in a student’s credit load on their financial aid package, ensuring students’ aid eligibility is properly adjusted.

Requirements

  • Associate’s degree in finance, business administration, student services, or a related field required; Bachelor’s degree preferred.
  • Two to three years of experience in financial aid, with a focus on Title IV fund management, R2T4 processing, and enrollment status monitoring.
  • Strong familiarity with federal financial aid regulations, especially regarding R2T4 and post-withdrawal disbursements.
  • Expertise in R2T4 calculations, post-withdrawal disbursements, and adjustments based on credit hour changes.
  • High attention to detail and accuracy, particularly in compliance with federal regulations.
  • Strong analytical and problem-solving skills to manage complex financial aid scenarios.
  • Excellent communication and interpersonal skills for advising students and working with internal departments.
  • Proficiency in financial aid management systems (e.g., Banner, PeopleSoft) and Microsoft Office Suite.

Responsibilities

  • Calculate R2T4: Accurately calculate the amount of federal financial aid (Title IV funds) to be returned when a student withdraws from all courses within a term, based on the percentage of the payment period completed. Ensure timely and accurate return of funds to the U.S. Department of Education in compliance with federal regulations.
  • Communicate with students who have withdrawn to explain the impact of R2T4 calculations on their financial aid and overall balance owed to the institution. Work with the Registrar, Student Accounts, Faculty and other campus offices to gather the necessary information for withdrawal dates, last date of attendance, and tuition adjustments for accurate R2T4 processing.
  • Post-Withdrawal Disbursements Eligibility Assessment: Evaluate students who have withdrawn but may still be eligible for post-withdrawal disbursements of Title IV aid. Calculate and process post-withdrawal disbursements, ensuring students receive the aid for which they are eligible within regulatory timeframes.
  • Notify students of their eligibility for post-withdrawal disbursements, obtaining authorization when necessary for disbursements related to loans.
  • Enrollment Status Monitoring: Monitor changes in student enrollment status (e.g., full-time to part-time, withdrawals from individual courses) and assess the impact on their financial aid package. Adjust financial aid awards and disbursements based on changes in credit hours and enrollment status, ensuring compliance with federal, state, and institutional regulations.
  • Ensure all R2T4 calculations, post-withdrawal disbursements, and enrollment status changes are processed in compliance with federal Title IV regulations and institutional policies.
  • Stay current on federal regulations related to R2T4, enrollment changes, and disbursements to ensure ongoing compliance and accuracy in processing.
  • Maintain thorough and accurate records of all R2T4 calculations, post-withdrawal disbursements, and credit status changes. Assist in reporting and audits related to Title IV funds to ensure institutional compliance with federal regulations.
  • Deliver high-quality customer service, responding promptly to inquiries and offering one-on-one assistance where needed. Assist in the development and revision of policies and procedures as needed to reflect changes in federal and institutional regulations.
  • Participate in cross-training initiatives within the financial aid department to gain proficiency in a variety of financial aid processes, ensuring seamless support across all areas during peak times or staff absences.
