The Specialist, Event Production, is responsible for supporting the planning and execution of special events hosted by United Way for Southeastern Michigan. This includes in-person and virtual events focused on a variety of objectives, including donor stewardship, fundraising, fostering affinity groups, brand building, and community engagement. Under the guidance of the Director, Event Operations, the Specialist will assist in coordinating event staff, vendors, and volunteer event committees to ensure events are successful and advance United Way's mission in the community. These may be on-site events, off-site events (in the community), and may be outside of traditional office hours. Support the planning and development of special events alongside the Director, Event Operations, with internal departments including Corporate Relations, Engagement & Experience, Individual Giving, Community Impact, Youth Opportunity, and more. Perform event preparation and task planning according to the event timeline and overall organizational event calendar. Lead cross-departmental teams during regular planning meetings and ensure Assist with note-taking and progress tracking during planning meetings. Support coordination and material requests with the marketing and communications teams as needed. Assist the Director and cross-department teams with brainstorming ideas for community-centric and impact-focused events or gatherings. Work with the finance department on the timely processing of contracts, purchase orders, and payments. Manage the Community Ambassador program, including representing United Way as a Community Ambassador at festivals, resource fairs, and other community-related events. Contribute to in-person event operations, including set up, tear down, and other duties as needed. Establish relationships with and maintain lists of proper contracts for events-related vendors and contract services. Support other programs as needed. This role will require travel throughout the community, including within Macomb, Oakland, Washtenaw, and Wayne counties.
