The Docketing Specialist will be responsible for managing the docketing and calendaring of litigation and dispute resolution matters, ensuring compliance with court deadlines and procedural requirements. The ideal candidate will possess strong administrative skills, a positive attitude, take initiative, and be dependable.

Requirements

  • Minimum three years of experience in litigation docketing or a similar role, ideally, with exposure to litigation in a law firm environment.
  • Proficient in electronic court filing in both state and federal courts is required.
  • Associate’s or Bachelor’s degree preferred; high school diploma is required
  • Strong understanding of court rules, procedures, and deadlines
  • Proficient with Microsoft Office Suite and Adobe Acrobat
  • Proficient with rules-based docketing
  • Proficient in Litigation Calendaring and software (Milana preferred)
  • The ability to interpret and analyze information
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Effective communication skills, both written and verbal
  • Exercises appropriate confidentiality and discretion
  • Ability to learn and understand basic firm principles

Responsibilities

  • Maintain and update the litigation docketing system, including calendaring court dates, deadlines, and other critical events
  • Monitor and track case-related deadlines and ensure timely notifications to attorneys and staff
  • Coordinate with attorneys, paralegals, practice coordinators, and other staff to ensure accurate and timely docketing of all litigation matters
  • Review and analyze court documents, pleadings, and correspondence to identify relevant dates and deadlines
  • Prepare and distribute docket reports and reminders to attorneys and staff
  • Assist with the preparation and filing of court documents
  • Serving and filing legal documents in various state and federal courts and agencies – electronically and physically, remaining up to date on format, filing requirements and deadlines
  • Ensure compliance with court rules and procedures
  • Answer procedural questions related to date calculations and filing requirements
  • Assists in the downloading of documents and updating internal databases
  • Provide support for other administrative tasks related to litigation and dispute resolution
  • Assist other practice group support members with overflow work and provide backup support as requested
