About The Position

The Special Events Planner at Recreation Centers of Sun City West is responsible for planning, organizing, overseeing, and evaluating various recreational activities and specialized events tailored for an adult planned retirement community. This role involves managing budgets, facilities, staff, contractors, and volunteers to ensure successful event execution and community engagement.

Requirements

  • Bachelor's Degree in a related field.
  • 2 years of related recreation management experience or equivalent education and experience in active adult communities.
  • Advanced knowledge and experience using Microsoft Office Suite, including Publisher and Excel.
  • Knowledge of community services program planning, administration, and supervision principles.
  • Experience in event planning from conception to completion.
  • Understanding of marketing theories, principles, and practices.
  • Knowledge of record-keeping methods and best safety practices in a work environment.
  • Ability to create age-appropriate activities and programs.
  • Familiarity with federal, state, and local laws regarding food and beverage service.

Nice To Haves

  • Knowledge of ticketing software(s).
  • Certified Food Protection Managers Card (to be obtained within 30 days of hire).

Responsibilities

  • Plans, coordinates, implements, and evaluates a variety of recreation activities and specialized events.
  • Develops and implements innovative and interesting activities, events, and programs for the association.
  • Trains, assigns, supervises, and evaluates volunteer and support staff in conjunction with the Recreation Manager.
  • Monitors program compliance with related laws, policies, and regulations.
  • Works with staff to ensure appropriate staging and sound systems are deployed effectively.
  • Evaluates program effectiveness and creates reports based on programming data, including ticket sales and community feedback.
  • Participates in negotiations for entertainment contracts with oversight from the Recreation Manager.
  • Assists the Box Office with creative design, marketing support, and ticketing support.
  • Communicates with coworkers, supervisors, and the public to convey information professionally.
  • Maintains records of attendance and punctuality according to policy guidelines.
  • Understands SCW clubs' procedures to promote their activities and build partnerships with the Events Department.
