About The Position

The Special Events and Project Lead position is responsible for coordinating and executing meetings and special events for Church Ministry projects. This role is integral to the Church Ministry department, which supports the mission of the Billy Graham Evangelistic Association (BGEA) to proclaim the Gospel through various means. The position requires maintaining a personal relationship with Jesus Christ and actively participating in the ministry's activities.

Requirements

  • Experience in event planning or a related role required
  • Ability to communicate verbally and in written form with staff of all levels of the association, as well as volunteers
  • Experience with or capacity to thoroughly utilize Microsoft Office suite, with particular strength in Excel, Word, Outlook and PowerPoint
  • Capacity to prioritize work and manage multiple projects in a fast-paced environment
  • Excellent organizational and analytical skills, with strong attention to detail
  • Ability to relate to people well, being approachable, as well as have the ability to manage administrative tasks simultaneously
  • Ability to work productively and independently with minimal direct supervision
  • Ability to maintain confidentiality
  • Project a positive attitude and demonstrate excellent customer service

Responsibilities

  • Coordinates and executes meetings and special events for Church Ministry and domestic tours
  • Organizes event details related to set-up, catering, technical, material inventory and shipments
  • Researches venues and conducts site visits
  • Establishes relationships with vendors and area host churches
  • Oversees event technical requirements for program
  • Assists with on-site logistics related to attendees and volunteers for domestic tour events
  • Engages and assists with volunteer groups during special events and domestic tours
  • Prepares and submits contracts and payment requests for event vendors
  • Fields internal and external questions related to event logistics and participation
  • Cross communicates between Director, multiple Tour staff, contractors, and volunteers
