About The Position

The Special Assistant to the Mayor is responsible for supporting the Mayor in daily operations and ensuring the office effectively serves the community's needs. This role involves staffing public events, coordinating schedules, and assisting with various administrative tasks to enhance the Mayor's engagement with citizens and city departments.

Requirements

  • High School diploma or GED required.
  • Effective communication skills in oral, verbal, and written formats.
  • Ability to treat citizens professionally and courteously in person and over the phone.
  • Demonstrated creative problem-solving abilities.

  • Bachelor's degree preferred.
  • Knowledge of the community's physical makeup and understanding of its diverse residents.

Responsibilities

  • Assist the Mayor at public facing events, including advance, day-of staffing, and post-event follow-up.
  • Coordinate with the Mayor's Deputy Chief of Staff Operations for schedule planning.
  • Work with the Communications team on social media postings and content sharing.
  • Assist with scheduling the Mayor's appointments, meetings, and public appearances.
  • Keep the Mayor informed of activities and special projects within various departments.
  • Prepare presentations for the Mayor upon request.
  • Conduct research and make recommendations on special reports and citizen requests.
  • Review and respond to correspondence as needed.
  • Assist the Constituent Services team with Boards and Commissions, including onboarding new appointees.
  • Lead the development and implementation of the Mayor's Office Internship Program (MOIP).
  • Collaborate with City leadership and colleges to ensure academic quality of internships.
  • Conduct needs analyses with City department heads for internship requirements.
  • Build partnerships with colleges and community partners for student opportunities.
  • Maintain an internship database for tracking and policy improvement.
  • Manage HR duties related to candidate recruitment and intern management.
  • Collaborate with college career staff to enhance internship relations.
  • Facilitate connections between City staff and MOIP interns for mentorship opportunities.
