About The Position

The Special Assistant will report directly to the Chief Development Officer (CDO) and offer high-level project management, writing and administrative support to the CDO and the Deputy Chief of Development. The ideal individual will have exceptional judgment in a diversity of situations, with exceptionally strong written and verbal communication, executive administrative, organizational skills, and the ability to maintain a realistic balance among multiple, time-sensitive, priorities. This individual should be able to hold information in confidence and behave with tact and grace, the strongest candidates will demonstrate an ability to build internal relationships to ensure that the work is aligned efficiently across teams and seamlessly lead through influence to ensure objectives are met. This individual is critical to ensuring that workflows involving the office of the CDO come together in an efficient and timely way that ensures successful outcomes while building positive organizational culture and trust amongst colleagues and teams.

Requirements

  • Ability to deploy strategies with minimal supervision to help maximize CDO's time and efficiency, and to ensure CDO is prepared to achieve daily priorities.

Responsibilities

  • Introduce and maintain project management tools as needed to keep CDO's key priorities clear, organized and on track.
  • Manage the status, resources and timelines for key projects and specific workflows, ensuring internal constituencies are aligned and informed.
  • Build, oversee and drive the CDO's calendar, including ensuring sufficient preparation for and follow-up from meetings.
  • Coordinate with Ocean Conservancy staff and CEO office team to ensure preparation, production, and distribution of background and briefing materials, binders, and itineraries related to meetings, presentations, conferences, and travel.
  • Coordinate meeting production and logistics as needed.
  • Act as a key liaison between the CDO and other departments, ensuring excellent communication, transparency, alignment and partnership across the organization’s teams.
  • Facilitate timely and efficient information flow to the CDO, including compilation of meeting agendas, management of deadlines, scheduling of meeting debriefs and circulation of notes for critical meetings.
  • In concert with and under the supervision of the Development Writer, draft donor briefings, compelling executive communications and other documents as needed while ensuring the appropriate review and timely approved delivery of said materials.

  • The expected minimum salary is $90,000.
