We are seeking a friendly and efficient Receptionist/Office Assistant with a passion for Functional Medicine to join our team. This role serves as the first point of contact for visitors and clients, providing exceptional customer service and administrative support. The ideal candidate will possess excellent communication skills, professionalism, and the ability to multitask effectively in a medical office environment.

  • Greeting Patients: Check patients in and out of clinic
  • Appointments: Schedule, reschedule, cancel patient appointments
  • Answering Phones: Manage incoming calls, routing them to the appropriate staff members or taking messages accurately.
  • Administrative Support: Assist with various administrative tasks such as filing, stocking, and maintaining office supplies.
  • Handling Correspondence: Sort and distribute incoming mail and emails, responding to routine inquiries or redirecting them as necessary.
  • Maintaining Reception Area: Ensure the reception area is clean, organized, and presentable at all times.
  • Assisting with Office Events: Provide support during office events or meetings, including setting up conference rooms, preparing materials, and arranging catering if needed.
  • Operating Office Equipment: Proficiently operate office equipment such as printers, copiers, and fax machines.
  • Handling Confidential Information: Maintain confidentiality of sensitive information and documents.
  • Excellent Communication Skills: Strong verbal and written communication skills are essential for interacting with patients and colleagues effectively.
  • Customer Service: A friendly and professional demeanor, with a commitment to providing exceptional customer service.
  • Organizational Skills: Ability to prioritize tasks, manage time efficiently, and maintain attention to detail in a fast-paced medical environment.
  • Tech Savvy: Proficiency in Microsoft Office and ability to learn new patient management software/EMR/EHR.
  • Adaptability: Willingness to adapt to changing priorities and take on new responsibilities as needed.
  • Professional Appearance: Presentable appearance and attire suitable for a medical environment.
  • Education: A high school diploma is required. Additional certification in office administration or related field is a plus. Must have knowledge of medical terminology.
  • Previous Experience: Prior experience in a medical environment is strongly preferred.
