About The Position

The Intake Specialist at Catholic Charities plays a crucial role in providing administrative support to the Counseling Services Program. This position involves handling intake calls, scheduling client appointments, assisting walk-in clients, and making referrals to community resources. The Intake Specialist ensures that clients feel welcomed and supported while maintaining organized records and facilitating communication between clients and counselors.

Requirements

  • High School Diploma or G.E.D.
  • Bilingual in Spanish and English.
  • Strong verbal and written communication skills in both English and Spanish.
  • Excellent listening skills.
  • Demonstrated organizational and time management skills.
  • Ability to handle high volume intake line and respond to requests in a timely manner.
  • Knowledge and experience of Trauma Informed Practices.

Responsibilities

  • Greet clients and visitors warmly, ensuring they feel welcomed and supported upon arrival.
  • Answer and direct incoming calls, handling inquiries and providing information.
  • Assist walk-in clients, guiding them in accessing services or scheduling appointments.
  • Maintain a clean and organized front desk area and waiting room.
  • Perform intake functions, including answering the Counseling Intake line and processing requests for counseling services.
  • Conduct initial intake calls with prospective clients, gathering essential information and assessing eligibility.
  • Coordinate and manage the scheduling of client appointments, optimizing the calendar.
  • Accurately enter client information into the system during intake calls and maintain updated records.
  • Assist in preparing, organizing, and filing client documentation, including consent forms and case notes.
  • Handle data entry for intake forms and other program-specific documents.
  • Create client charts and assist with filing and retrieving client records.
  • Process mail, faxes, and photocopies for the program; prepare packets for new clients.
  • Monitor and maintain office supplies for administrative and clinical staff.
  • Maintain cash drawer, close out and deposit cash daily, and record payments received.
  • Perform other duties as assigned.
