About The Position

The Receptionist Front Office position at Tahoe Forest Health System is responsible for performing essential front office duties to ensure an efficient workflow within the Orthopedics practice. This role involves greeting visitors, registering patients, scheduling appointments, and managing communication between patients and healthcare providers. The receptionist plays a crucial role in maintaining accurate patient records and supporting the overall operations of the clinic.

Requirements

  • High school diploma or general education degree (GED).
  • One to three months related experience and/or training, or equivalent combination of education and experience.

Responsibilities

  • Greets and receives visitors, determining the nature of business and directing them appropriately.
  • Registers patients by obtaining and verifying accurate demographic and insurance information for billing.
  • Enters data into the computer to maintain office and patient records.
  • Schedules and maintains appointments based on provider and service-specific requirements.
  • Reviews physician daily schedules for appropriate visit lengths and types.
  • Informs providers of scheduled procedures and prints/updates schedules for all providers.
  • Communicates significant schedule changes to back office, providers, and Practice Lead.
  • Schedules ancillary tests and assists patients in scheduling ancillary services.
  • Documents and follows up on no shows in accordance with No Show Policy.
  • Makes appointment confirmation calls and answers the phone within three rings.
  • Answers questions within scope of practice and routes calls appropriately or takes detailed messages.
  • Retrieves voice mail messages and returns calls as needed.
  • Provides first level of resolution with patients, involving Practice Lead for second level of resolution.
  • Collects and posts payments, office co-pays, deductibles, and self-pay balances at time of service.
  • Balances cash and completes daily cash reconciliation, preparing daily deposits and reconciling collection reports.
  • Ensures accurate completion of medical record requests and prepares charts for next day's appointments.
  • Handles flow of patient reports and routes them to appropriate practitioners for review and signatures.
  • Obtains test results and records them as requested by the medical provider.
  • Accesses and maintains information in various electronic health records (EHR) systems.
  • Maintains proficiency with practice management, EHR, hospital registration, and results retrieval systems.
  • Provides general office support including mail distribution, photocopying, faxing, and mailing documents.
  • Works closely with Practice Leads on processes/procedures and assists with staff training as needed.
  • Maintains cleanliness of office and waiting area, and manages par levels of forms and office supplies.
  • Assumes opening and closing duties as needed and works as part of the implementation team for projects.
