About The Position

The Medical Assistant & Scribe (MA) position at Southern Marin Dermatology (SMD) involves assisting clinical providers with patient care in a thriving dermatology practice. The role includes both medical assisting and administrative duties, with a strong emphasis on providing exceptional patient care in a collaborative environment. The MA will be responsible for rooming patients, documenting visits, and supporting various medical and cosmetic procedures, while also maintaining a welcoming atmosphere for patients.

Requirements

  • Medical Assistant certification preferred.
  • Scribing coursework/experience preferred.
  • Minimum of 2 years of relevant experience in a healthcare setting; dermatology or cosmetic services experience a plus.
  • Proficient in modern software: Electronic Medical Records (EMR) systems (SMD uses ModMed); Microsoft applications (Outlook, Word, Excel).
  • Knowledge of medical and skin care terminology.
  • Familiarity with CLIA a plus.
  • Excellent communication skills, both verbal and written.
  • Passionate about providing exceptional customer service.
  • Strong sense of personal accountability, initiative and enthusiasm, and a positive attitude.
  • Caring and empathetic when interacting with patients and colleagues.
  • Good listener and multitasker, able to keep up in a fast-paced environment.
  • Well-organized with attention to detail.

Nice To Haves

  • Experience in dermatology or cosmetic services.
  • Familiarity with CLIA standards.

Responsibilities

  • Support providers and other staff by working as a team and providing extraordinary patient care.
  • Set up exam rooms according to scheduled procedures or anticipate physicians' needs for non-scheduled procedures.
  • Greet patients warmly and escort them to exam rooms in order of appointment times.
  • Obtain medical history and medication list as required by the patient's chief complaint.
  • Explain medical procedures to patients and obtain informed consent.
  • Assist in medical/surgical procedures including excisions, cryotherapy, skin biopsies, and skin cancer surgeries.
  • Assist in cosmetic procedures including Botox/Dysport, fillers, and laser treatments.
  • Perform procedures such as numbing, suture removal, wound checks, and dressing applications.
  • Educate patients about cosmetic and medical treatments and SMD skincare products.
  • Scribe detailed and accurate medical notes into the electronic medical records (EMR) system.
  • Accurately document all symptoms, diagnoses, treatment regimens, and prescriptions in patient charts.
  • Take accurate before and after patient photos.
  • Escort patients to front desk after visit and handoff to front desk staff for check-out.
  • Disinfect, straighten, and stock exam rooms between patients and all patient areas at the end of the day.
  • Clean/sterilize medical equipment and instruments.
  • Prepare path/lab specimens, route to correct lab dictated by patient's insurance plan, retrieve and log path/lab reports, follow-up per physician's instructions.
  • Complete administrative tasks such as answering/returning patient phone calls, pre-authorizations for procedures and/or medications, prescription refill requests, medical records releases, referrals to other medical offices, etc.
  • Maintain familiarity and compliance with OSHA Blood Borne Pathogen standards and HIPAA privacy standards.
