Requirements

  • At least 10 years of proven experience as an executive administrative assistant or similar role.
  • Strong knowledge of office management systems and procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent time management skills and ability to multitask and prioritize work.
  • Excellent written and verbal communication skills.
  • Positive, professional attitude and demeanor.
  • Strong communication and interpersonal abilities.
  • Attention to detail and problem-solving skills.
  • Ability to handle sensitive information confidentially.
  • Ability to work independently and as part of a team.
  • High school diploma or equivalent; associate or bachelor's degree preferred.

Responsibilities

  • Actively manage the calendars of the four senior leaders, responding to meeting requests and addressing conflicts.
  • Prepare executives for their day by reviewing schedules and ensuring necessary materials are provided.
  • Book and manage all travel arrangements for executives, including directions and agendas.
  • Organize and schedule individual appointments and team meetings/events, ensuring agendas and catering are in place.
  • Assist in project management by tracking deadlines and facilitating communication.
  • Handle expense reporting, invoicing, and basic contract facilitation.
  • Assist in the preparation of regularly scheduled reports.
  • Answer and direct phone calls, occasionally covering the reception desk.
  • Liaise with vendors and customers, providing excellent customer service.
  • Produce and distribute correspondence memos, letters, faxes, and forms.
  • Provide general support to visitors and answer inquiries.
  • Create presentations as necessary.
  • Maintain computer and manual filing systems and manage office supplies.
