About The Position

The Document Controller at Linxon plays a crucial role in managing project documentation for engineering and construction projects. This position involves ensuring proper version control, distribution, and storage of all project-related documents, while also supporting the project team in maintaining effective document management systems. The ideal candidate will be detail-oriented, organized, and passionate about contributing to impactful projects in a dynamic environment.

Requirements

  • Experience in controlling documents and records for engineering and construction projects.
  • Knowledge of automated documentation control packages such as Company PIMS, Procore, and SharePoint Project Document Management Systems.
  • Computer literacy, especially skilled in Microsoft Office and Adobe Acrobat.
  • Knowledge of various relevant industry standard client documentation practices.
  • Execution/Senior management support experience.
  • Excellent communication skills (written and oral).
  • Ability to work in a fast-paced environment.
  • Excellent attention to detail.
  • Strong interpersonal communication skills.
  • Ability to think outside the box and use initiative.

Nice To Haves

  • Experience with automated documentation control packages is a big advantage, although training will be given.

Responsibilities

  • Uploading all deliverables to the Document Management System from Linxon and suppliers.
  • Ensuring proper version control of all project-related documentation in line with company/project procedures.
  • Distributing all project documentation to suppliers, clients, and construction sites as per procedures.
  • Managing the receipt and control of all project documentation from suppliers and clients.
  • Setting up the document management system and document controls process using Company PIMS, Procore, and SharePoint.
  • Maintaining the MDR generated from the clients' approved working documents.
  • Preparing and collating H&S Files, including technical manuals (O&M) to relevant project requirements.
  • Supporting off-site activities related to effective document management control, such as scanning and filing of project documentation.
  • Reviewing, updating, and communicating progress to the line manager on project-related activities.
  • Providing coaching and guidance to less experienced colleagues.
  • Contributing to process enhancements related to document management.
