About The Position

The SoonerSelect Engagement Specialist I provides operational and administrative support to SoonerSelect Operations by assisting with tracking, documentation management, stakeholder communication support, and issue intake coordination. This position performs task-level work that supports program operations, including maintaining trackers, routing inquiries, organizing documentation, and assisting with routine communications and meeting logistics . The role ensures information is documented, organized, and distributed accurately to support program activities and stakeholder engagement efforts. Work is performed under established procedures and guidance from senior staff, with escalations directed to higher-level specialists when interpretation, policy guidance, or program decisions are .

Requirements

  • This position requires knowledge of basic administrative and program coordination practices, document management processes, and standard office systems used to track and organize program activities.
  • The role requires strong organizational skills, attention to detail, and the ability to follow established procedures to maintain accurate documentation, trackers, and communications.
  • The ability to communicate clearly, coordinate routine tasks, and manage multiple assignments while maintaining accuracy and timeliness is essential.
  • The position also requires the ability to work collaboratively with internal teams and external stakeholders while appropriately routing inquiries and escalating issues when necessary.

  • Bachelor’s degree plus 1 year of technical clerical, administrative, secretarial, or general office work OR An equivalent combination of education and experience.

Responsibilities

  • Maintain and update operational trackers including CE notifications, memos, issue or complaint logs, and amendment request logs to ensure accurate documentation of program activities.
  • Upload and maintain program documents in SharePoint, ensuring proper file naming conventions, version control, and document organization.
  • Distribute routine communications, announcements, and reference file updates to contracted entities (CEs) under direction of senior staff.
  • Receive and log inquiries or issues from providers, members, or external partners and route them to the appropriate subject matter experts or program leads.
  • Conduct basic research activities such as locating policies, verifying citations, and collecting background documentation to support program staff.
  • Assist with meeting preparation including scheduling, agenda development, note taking, and tracking follow-up actions.
  • Support stakeholder engagement activities by coordinating logistics , documentation, and scheduling for meetings, trainings, and workgroups.
  • Monitor designated program email boxes and triage incoming inquiries that require routing or escalation.
  • Draft routine communications using established templates such as reminders, outreach confirmations, and informational notices.
  • Provide document quality checks by reviewing formatting, verifying links, and ensuring attachments and supporting materials are complete and accurate .
  • Support operational coordination between program staff, contracted entities, and internal agency partners as needed.
  • Other duties as assigned.
