About The Position

Glowholic is seeking a motivated Receptionist to ensure the smooth operation of our skincare clinic. This role is crucial for providing exceptional customer service and maintaining a welcoming environment for clients. The Receptionist will manage appointment scheduling, assist with clinic operations, and support the team in delivering high-quality skincare services.

Requirements

  • Previous receptionist or customer service experience preferred.
  • Strong organizational skills and attention to detail.
  • Basic computer skills and familiarity with office software.

Responsibilities

  • Greet clients warmly and ensure a welcoming reception area.
  • Maintain reception and waiting areas, including light cleaning and organization.
  • Assist with opening and closing procedures, ensuring the clinic is ready for each day.
  • Manage appointment scheduling, rescheduling, and maximize daily bookings.
  • Handle check-ins, check-outs, and collect payment accurately.
  • Answer phone calls and write professional, detail-oriented emails.
  • Keep the owner informed of all situations and handle them professionally and efficiently.
  • Assist with spa laundry and ensure cleanliness is maintained throughout the day.
  • Maintain a polished, professional appearance and demeanor at all times.
  • Manage late cancellations and ensure clients follow spa policies.
  • Keep track of inventory and assist with ordering & restocking skincare products.
  • Assist with ordering spa/office supplies.
  • Deliver excellent customer service, addressing client inquiries and needs.
  • Knowledge about our treatments, packages, and memberships.
  • Utilize basic computer skills to manage appointments and process transactions.
  • Collaborate with the team to maintain a positive and efficient clinic environment.
  • Take charge and be proactive in resolving any operational challenges.
  • Assist with mini-projects and other assigned tasks. Handle mail and ensure it is organized and processed promptly.
