About The Position

We are looking for a Site Services Travel Coordinator to be the operational heartbeat of our travel program. You’ll be the architect of the SSS travel lifecycle, ensuring our field and service experts get where they need to be, safely and efficiently. This isn’t just about itineraries; it’s about governance, system optimization, and emergency mobilization. You will manage our corporate travel platform, negotiate with key vendors, and provide 24/7-style support for critical site visits and urgent mobilizations.

Requirements

  • High school diploma or equivalent required; some higher education preferred
  • Previous training and 1+ years’ experience travel software highly desired
  • Strong working knowledge of the travel industry
  • Excellent verbal and written communication skills
  • Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal
  • Excellent organizational skills and attention to detail
  • Proficient with Microsoft Office Suite or related software

Responsibilities

  • Manage hotel vendor relationships for SMS Site Services; ensure bookings use SMS contract rates where available and observe price caps for non‑contract hotels
  • Identify, recommend and finalize appropriate long-term leased accommodation (i.e. apartments, corporate housing, etc)
  • Maintain all lease documents/contracts and provide analysis to ensure best practice cost savings
  • Arrange travel for SMS and non‑SMS personnel required on site (e.g., external specialists, visiting partners) and ensure cost and invoicing treatment follows company policy
  • Act as the point of contact for SSS travel‑related inquiries, providing guidance on policy and booking support
  • Obtain required approvals from the appropriate disciplinary supervisor, project leader, or management for travel requests or expenses that exceed policy limits or constitute deviations
  • Coordinate group itineraries (multi‑traveler bookings, project teams) and ensure consolidated invoicing or cost allocation as required
  • Liaise with vendors to apply negotiated contract terms, obtain refunds or credits, and resolve booking disputes
  • Support expense and credit card reconciliation and collaborate with Finance/Accounts Payable to ensure travel costs are processed per company requirements
  • Serve as alternate travel booker for SMS group flights, car rental, and hotel bookings as assigned
  • Provide backup to the Immigration Coordinator by preparing letters of invitation (LOI) and obtaining required approvals/signatures as assigned
