About The Position

This position is designed for experienced residential leaders who are ready to oversee program operations, staff supervision, compliance, and quality assurance while maintaining a person-centered home environment. The Site Manager is responsible for the overall operation, leadership, and compliance of a residential program serving adults with intellectual and developmental disabilities. This role oversees staff performance, resident care, regulatory compliance, budgeting, and quality assurance, while also providing direct care support when needed. The Site Manager serves as the primary leader of the home and works closely with the Area Director, HR, Quality Assurance, and external partners to ensure high-quality services aligned with Our House, Inc. and Division of Developmental Disabilities (DDD) standards.

Requirements

  • Valid driver’s license with an insurable driving record and ability to pass a Motor Vehicle Record (MVR) check with minimal violations
  • Must have reliable transportation to and from work and be comfortable driving agency vehicles
  • At minimum, a high school diploma, GED, or foreign equivalent
  • Must be 21 years of age or older
  • Demonstrated experience in residential services, group home management, or supervisory roles within IDD or human services settings
  • Ability to respond to site emergencies and make sound decisions under pressure
  • Ability to attend and successfully complete required paid training and maintain annual recertifications
  • Strong computer skills, including electronic documentation systems, email communication, and report preparation
  • Ability to provide professional references
  • Ability to assist residents with mobility and personal care when needed
  • Lift/Force Requirements: Constant 10 lbs | Frequent 25 lbs | Occasional 50 lbs
  • Strong leadership, judgment, organizational, and problem-solving skills
  • Ability to work independently while managing multiple priorities

Responsibilities

  • Ensure direct care staff provide services aligned with residents’ goals, objectives, behavior plans, and Individualized Habilitation Plans (IHP/ISP/ELP)
  • Supervise, train, and evaluate residential staff; conduct orientation, assign duties, approve timekeeping, and administer corrective action as needed
  • Build staff potential through coaching, feedback, and development
  • Make staff promotion, transfer, and demotion decisions in collaboration with the Area Director and HR
  • Serve as program on-call for staffing and program-related issues and provide coverage when necessary
  • Hold monthly staff meetings and ensure residents participate in weekly house meetings
  • Ensure medication administration complies with Our House, Inc. and Division of Developmental Disabilities (DDD) policies and procedures
  • Meet monthly with pharmacy to review and approve medication deliveries
  • Oversee residents’ medical care, appointments, and follow-up in accordance with OHI policy
  • Observe residents for health concerns and respond appropriately to medical needs
  • Maintain residents’ daily records and documentation in approved electronic systems
  • Develop, maintain, and update electronic client records and household files
  • Set annual residence goals with the Area Director and ensure timely completion
  • Meet with licensing inspectors and correct deficiencies promptly
  • Attend monthly supervision with the Area Director and address identified areas for improvement
  • Attend monthly Manager Meetings
  • Assist with policy revisions, train staff on updates, and report personnel matters to HR
  • Manage resident funds in compliance with Medicaid and agency guidelines
  • Oversee budgeting, spending, and financial documentation for the residence
  • Manage staffing schedules, documentation logs, activity planning, reports, maintenance coordination, and resident meetings
  • Submit monthly client attendance reports by the 1st of each month
  • Track resident overnight stays to ensure compliance with residential regulations
  • Develop resident goals with the Interdisciplinary Team through IHP, ISP, or ELP processes
  • Meet quarterly with DDD Case Managers for resident audits
  • Communicate with residents’ employers and day programs to monitor progress and participation
  • Cooperate fully with inspections or investigations conducted by Our House, Inc., Medicaid, or the Division of Developmental Disabilities
  • Report all incidents to Quality Assurance according to OHI and DDD policies
  • Maintain responsibility for the overall safety and well-being of residents
  • Monitor residence operations to ensure compliance with OHI Standard Operating Procedures, DDD Manual of Standards, and Medicaid requirements
  • Incorporate OHI philosophy into all aspects of program operation and staff training
  • Monitor resident progress toward IHP/ISP/ELP goals through monthly reporting
  • Identify and address residents’ individual needs (physical, psychological, social, religious, civil, legal, and financial)
  • Identify community resources and support residents in accessing them
  • Act as a special advocate for individual residents as needed
  • Transport residents using agency vehicles to appointments, shopping, and recreational activities
  • Provide hands-on support with activities of daily living when necessary
  • Train and support direct care staff in appropriate care techniques based on resident needs
  • Respond to site emergencies, staffing issues, and program concerns as needed
  • Work scheduled shifts and additional coverage when required
  • Respond promptly to calls, emails, texts, and other communications related to incidents and employee relations using the agency-provided work phone
