About The Position

In this role, you will perform administrative duties that require proficiency, accuracy, judgement, initiative, discretion, and knowledge of protocol. You will handle both routine and complicated items, such as coordinating travel, preparing expense reports, and composing correspondence. Your ability to anticipate problems and changing priorities will help bring efficiency and organization to your team. The Field Administrative Assistant is responsible for providing general administrative support to the Site Manager and his organization.

Requirements

  • Requires a minimum of 6+ years of related experience.
  • Associate degree or related technical training preferred.
  • Intermediate to advanced skills in Microsoft Office Suites.
  • Working knowledge of Sharepoint.
  • Working knowledge of Visio.
  • Excellent oral and written communication skills.
  • Strong organizational skills; detail oriented.
  • Experience interfacing with executive management and customers.
  • Professional demeanor.
  • Able to handle highly confidential information.
  • Must be able to work independently.
  • May be needed to work overtime with little or no notice.
  • Working knowledge of Concur.
  • Working knowledge of Digital Supply Chain System (DSCS) for material requisitions.
  • Experience programming using SQL.
  • Previous Bechtel experience in similar position preferred.

Responsibilities

  • Responsible for a variety of services which may include space allocation, office moves, facility operations, leasehold improvements, renovation activities, security and access control, food service management, reproduction, telecommunications, mail and shipping, messenger service, travel, office supplies, furniture and equipment, and miscellaneous services.
  • Develops and implements new or improved systems, processes and procedures.
  • Develops reports and implements processes and procedures to improve or maintain the quality of office services functions.
  • Prepares or directs the preparation of regular or special reports.
  • Participates in budget processes.
  • Schedules work activities, monitors schedules, and measures work progress.
  • Contributes to and/or evaluates work process improvements.
  • May oversee establishment and maintenance of filing system and record copies of facility and office services documents.
  • Plans and facilitates moves.
  • May employ computer aided facility management tools.
  • Establishes supply/stationery needs and may approve purchases.
  • May interact and maintain professional relations with other O&AS technical support representatives in other offices.
