About The Position

The Site Leader, Legal supervises the day-to-day operations of a specified 1 to 3 person site within a legal office environment. This role reports directly to an Account Manager and focuses on providing employee developmental support while assisting in employee relations matters. The Site Leader is responsible for developing, implementing, and reviewing procedures for compliance and improvement, as well as preparing, creating, validating, and invoicing clients according to their billing needs. Excellent interpersonal and customer service skills are essential for communicating with senior level attorneys, partners, clients, opposing counsel, court reporters, vendors, staff, and others. The Site Supervisor acts as the point person for customer issues and provides direction for issue resolution. The role also involves assisting with various office functions such as copy, production, scanning, fax, mail, shipping, hospitality assistance, conference room setup and scheduling, receptionist backup, facilities support, and inventory control. The Site Leader must maintain and control an acceptable profit level within the site while seeking additional service offerings to enhance customer workflow.

Requirements

  • High school diploma or GED.
  • 2 years of experience in a related field.
  • Minimum of 2 years' experience in the legal industry is strongly preferred.
  • Familiarity with legal technologies and software such as document management systems.
  • Knowledge of legal records management processes.
  • Ability to understand client matter workflow and legal documentation.

Nice To Haves

  • Experience with different types of law (criminal, civil, corporate, etc.).
  • Proficiency in Microsoft Word, Excel, PowerPoint, Adobe (pdf), and legal software.
  • Experience in delivering training sessions.
  • Experience in operating advanced machines and performing complex jobs.

Responsibilities

  • Supervise day-to-day operations of a legal office site.
  • Provide employee developmental support and assist in employee relations.
  • Develop, implement, and review procedures for compliance and improvement.
  • Prepare, create, validate, and invoice clients as per billing needs.
  • Communicate effectively with senior level attorneys, partners, clients, and other stakeholders.
  • Assist with scheduling equipment, labor, and supplies for offsite trials.
  • Implement and manage the RICOH Service Excellence methodology.
  • Handle formal contact with customers daily.
  • Manage highly confidential documents that may be time-sensitive.
  • Provide training on workflow and machine operations when necessary.
  • Ensure payroll accuracy by overseeing and correcting time clock punches.
  • Achieve shift profitability by supervising labor, materials, and supplies.
  • Maintain quality of work to comply with audits and deadlines.
  • Facilitate resolution of issues concerning pricing, orders, and invoicing.
  • Complete site reports and other paperwork accurately and on time.
