About The Position

Verifies and keeps records on incoming and outgoing shipments and prepares items for shipment. Assists with parts inventory stocking and organization. Serves as back-up Parts Advisor.

Requirements

  • The Parts Shipping and Receiving Clerk must perform daily activities and instructions in an efficient, detailed, diligent, organized, and safe manner.
  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
  • No prior experience or training required.
  • General computer, email, and word processing skills
  • Ability to become quickly proficient in using the appropriate functions in several software and web-based systems, such as the Dealership’s Management System, the Manufacturer’s online parts portals, and any required shipping websites.
  • Ability to become quickly proficient in using the basic features of the dealership’s telephone system (i.e. answering calls, transferring calls, putting calls on hold, etc.)
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to communicate courteously, professionally, and effectively over the telephone.
  • Ability to greet customers when needed, and direct their inquiries to the appropriate person
  • Ability to read, analyze, and interpret documents such as shipping docs, general business communications, safety rules, training material
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out detailed but uninvolved instructions given in written or oral form.
  • Ability to deal with standardized situations with only occasional variables.
  • Compliance and Environmental Health and Safety training (as directed by management)
  • Manufacturer training certification (as directed by management)

Nice To Haves

  • 1+ year of working at an auto dealership or in a similar role in a different industry is preferred.

Responsibilities

  • Compares identifying information and counts, weighs, or measures items of incoming and outgoing shipments to verify information against bills of lading, invoices, orders, or other records.
  • Determines method of shipment.
  • Affixes shipping labels on packed cartons or stencils identifying shipping information on cartons.
  • Assembles wooden or cardboard containers or selects preassembled containers.
  • Inserts items into containers.
  • Nails covers on wooden crates and binds containers with metal tape.
  • Stamps, stencils, or glues identifying information and shipping instructions onto crates or containers.
  • Posts weights and shipping charges, and affixes postage.
  • Unpacks and examines incoming shipments, rejects damaged items, records shortages, and corresponds with shipper to rectify damages and shortages.
  • Routes items to appropriate departments/personnel.
  • Examines outgoing shipments to ensure shipments meet specifications.
  • Maintains inventory of shipping materials and supplies.
  • Operates equipment to move, convey, or hoist shipments from shipping and receiving area to storage or work area.
  • Disposes materials in recycle and trash bins as directed
  • Completes health, safety, and compliance training as directed by management
  • Performs tasks in accordance with health, safety, and compliance regulations and procedures
  • Maintains a safe, secure, and organized working environment
  • Completes manufacturer training as directed by management
  • Learns advisor tasks and acts as back-up advisor as directed by Parts Manager.
  • Deliver parts to Technicians in the shop
  • Stocks and organizes product in Dealership Boutique shop as directed by Parts Manager
  • Maintains entire Parts Department clean
  • Dust bins
  • Empty trash cans in Parts Department everyday
  • Sweep and mop Parts Department
  • Place warranty parts in retention area
  • Return warranty parts
  • Change and dust Boutique areas as directed by Parts Manager
