About The Position

The Shipping Clerk is responsible for ensuring accurate, timely, and well‑coordinated shipping and receiving processes for local originating divisions of Arcadia. This role requires strong communication skills and meticulous attention to detail, as accuracy directly impacts inventory control, operational costs, and overall company profitability.

Responsibilities

  • Assist will‑call customers with pickups and ensure all required paperwork is completed accurately.
  • Coordinate shipments and truck scheduling through carrier websites, manage logistics details, prepare accurate pickup paperwork, and document each shipment with clear pallet photos uploaded to the job folder under strict time constraints.
  • Update box contents upon receipt and generate shipping labels promptly.
  • Enter accurate ship dates into Salesforce to maintain clear communication and order visibility.
  • Receive all transfer orders into the ERP system (D365) after verifying counts from the originating division.
  • Receive all materials purchased by the finishing division into the ERP system and resolve discrepancies by communicating with the originating division.
  • Serve as the primary contact for originating divisions regarding shipment status, process transfer orders in the ERP system upon shipment, and ensure paperwork is delivered to the appropriate finishing division.
  • Communicate discrepancy resolutions to team members within the department.
  • Process and prioritize picking lists in the ERP system, communicate urgent needs from the foreman, and update changes to ensure timely and accurate execution.
  • Conduct weekly shop inventory and report findings promptly to the supervisor to support accurate stock management.
  • Notify the supervisor of any significant issues affecting job operations.
  • Fulfill sample requests by preparing and shipping items, updating the sample log, and confirming completion with the requestor.
  • Participate in cross‑training to support coverage of office duties as needed.
  • Provide excellent customer service in person and by phone.
  • Perform basic data entry and maintain databases for the Purchasing Department.
  • Confirm and follow up on purchase orders and respond to emails in a timely manner.
  • Print shipping labels, process and stage orders neatly in the shipping area, and coordinate LTL and FedEx shipments through online portals while monitoring freight budgets.
  • Create and send shipping confirmations to customers and notify will‑call customers when orders are ready.
  • Utilize Microsoft Word and Excel proficiently
  • Perform other duties as assigned by management.
