About The Position

The Shipping Coordinator is responsible for managing all inbound and outbound documentation, ensuring accuracy within D365, coordinating inventory flow, cycle counting, and supporting warehouse operations. This role maintains compliance with DOT, Environmental Health & Safety (EHS) standards, and internal facility requirements while communicating effectively across logistics, operations, and warehouse teams.

Responsibilities

  • Inbound & Outbound Documentation
  • Handle and complete all paperwork for inbound and outbound shipments
  • Confirm that all Bills of Lading (BOLs) are signed, accurate, and properly documented in D365
  • Immediately close all shipments as they arrive or leave the facility
  • Inventory Coordination
  • Work closely with logistics to maintain a steady flow of materials
  • Manage inventory levels, perform adjustments, and ensure accuracy across all warehouse locations
  • Provide accurate picking lists and verify staged materials match documentation before shipping
  • Coordinate creation and closure of all Work Orders and Production Orders, ensuring accurate data flow to Finance in near real time
  • Lead cycle count processes and resolve discrepancies
  • Collaborate with Manufacturing to ensure correct material staging and accurate system tracking in D365
  • Trailer & Storage Management
  • Manage, document, and monitor storage trailers for accurate inventory tracking
  • Oversee non-product materials (drums, cardboard, plastic, steel) and ensure proper storage and documentation
  • Issue Resolution
  • Identify, troubleshoot, and resolve inbound/outbound issues
  • Communicate with warehouse, logistics, and production teams to minimize disruptions
  • Compliance, Safety & Environmental Responsibilities
  • Verify outbound loads meet DOT requirements and applicable regulations
  • Ensure all shipment documentation is compliant prior to release
  • Follow all Environmental, Health, and Safety (EHS) policies and procedures
  • Conduct daily environmental inspections of sorting and staging areas
  • Communication & Coordination
  • Communicate effectively with internal teams
  • Prioritize workload to meet shipping and production deadlines
  • Training & Team Support
  • Train warehouse employees on shipping and receiving processes
  • Provide guidance on inventory accuracy and documentation procedures
  • 5S Lead
  • Lead and execute 5S initiatives (organizing, labeling, cleaning)
  • Support visual management improvements across inventory areas
