The Office Manager is responsible for greeting visitors, answering phones, and providing administrative support to ensure the office runs smoothly. This includes scheduling meetings, handling mail, and maintaining organization within the office. The Office Manager will also interact effectively with residents of the Hospitality House Family shelter, facilitating communication between them and caseworkers. A strong understanding of residential programs and the social dynamics of urban experiences is beneficial. Bilingual skills, particularly in Spanish, are highly valued.

  • Answer phones, file documents, and write inter-office communications.
  • Prepare mass mailings and help design event flyers.
  • Maintain daily & monthly HMIS reports to ensure accurate and timely information input.
  • Submit daily & monthly statistics to the Shelter Director and The Salvation Army.
  • Work with the Shelter Director and Caseworkers to manage resident files and data.
  • Organize and complete the 'Life Skills' Calendar and On-Call Calendar.
  • Provide needed pastoral care for families and individuals receiving social services.
  • Perform all related duties as assigned.
  • Christ-centered behavior, treating people with dignity, respect, compassion, and integrity.
  • Bachelor's Degree or equivalent related work experience.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Strong computer/office management skills, including knowledge of Microsoft Word, Publisher, PowerPoint, Excel, and Lotus Notes.
  • High School Diploma or equivalent related work experience.
  • Valid driver's license and a safe driving record.
  • Ability to perform duties independently with minimal supervision.
  • Completion of Child Protection Clearances as per PA Act 153.
  • Understanding and appreciation for the Mission of The Salvation Army.
  • Bilingual in Spanish, able to read, write, and speak fluently.
