Requirements

  • High school diploma or equivalent and two years of progressively more responsible experience in providing clerical and administrative support.
  • Ability to learn the principles and practices of general office procedures and relevant laws governing the operations of the Friend of the Court Office.
  • Knowledge of the State of Michigan Friend of the Court system and court procedures.
  • Skill in maintaining accurate electronic records and providing customer service.
  • Ability to effectively communicate ideas and concepts orally and in writing.
  • Demonstrated ability to maintain professional integrity and effectively deal with the public.
  • Skill in using office equipment and technology, including Microsoft Suite applications and database entry.
  • Michigan Vehicle Operators License.
  • Ability to maintain confidentiality of sensitive information.

Responsibilities

  • Serve as receptionist and answer telephone lines, responding to inquiries regarding procedural information and case scheduling.
  • Open mail, review correspondence, and route to appropriate staff, ensuring personal information is handled correctly.
  • Prepare new case files and execute data entry on MICSES, ensuring all necessary documentation is collected.
  • Review court orders and judgments of divorce for completeness before submission for the Judge's signature.
  • Provide secretarial and administrative support to the Friend of the Court and other staff, monitoring inbox for incorrectly coded documents.
  • Research and prepare financial statements for financial institutions on individual cases.
  • Enter change of address and other case information into the computer system, completing requests promptly.
  • Process, secure, and index all mail, monitoring document submission routes.
  • Perform routine maintenance on office equipment such as copy machines and microfilm equipment.
  • Access Central Paternity Registry and Birth Registration System to retrieve necessary documents for new cases.
  • Maintain clerical aspects of the SMILE program, tracking attendance and managing client inquiries.
  • Handle and receipt payments, preparing daily reports for processing on MiCSES.
  • Replenish administrative paperwork and maintain tidiness of the front counter and lobby.
  • Utilize address locate reports to prepare requests for USPS postal reports as needed.
  • Direct incoming documents to appropriate staff and analyze lengthy filings for administrative action.
  • Research case files to determine attorney involvement in new filings.
  • Process and handle all outgoing mail, ensuring proper postage and records of costs.
  • Document new cases and maintain physical and electronic records of case statuses.
  • Execute data input for payer switches on MiCSES as required by colleagues.
  • Process opt-in requests for cases previously opted out of Friend of the Court services.
  • Maintain office records and archive monthly activity logs for processing.
  • Collaborate with external entities such as the County Clerk's office and Family and Probate Court.
  • Perform other duties as directed.
