About The Position

The Services Coordinator plays a critical role in ensuring seamless collaboration between external vendor providers and internal stakeholders at JLL-managed facilities. This position is responsible for managing vendor visits, coordinating equipment logistics, and maintaining compliance with safety and regulatory standards. By facilitating efficient communication between vendors, end users, and cross-functional teams, this role directly supports operational excellence and contributes to JLL's commitment to delivering superior facility management services

Requirements

  • 2 years of experience in similar roles
  • High school diploma
  • Work order management systems experience/knowledge
  • Planning and Scheduling experience

Nice To Haves

  • Proficiency with computer maintenance management systems (e.g., SAP) or Maximo or Corrigo, Microsoft Suite
  • Associate in Instrumentation
  • Basic knowledge of cGMP (current Good Manufacturing Practices)
  • Experience in pharmaceutical, laboratory, or regulated facility environments
  • Familiarity with equipment logistics and vendor management processes
  • Motivated to learn and identify gaps for continuous improvement
  • Previous experience in facilities management or vendor coordination
  • Effective verbal and written communication skills
  • Detail-oriented with strong organizational abilities
  • Ability to multi-task and manage competing priorities
  • Proven problem-solving capabilities
  • Demonstrated teamwork and collaboration skills
  • Experience coordinating multiple parties or projects

Responsibilities

  • Escort external vendor providers in a safe and compliant manner to assigned laboratories
  • Partner closely with stakeholders including vendors, end users, Planning & Scheduling, and Instrumentation teams to ensure vendor visits are executed as planned
  • Collaborate with equipment owners, Planning & Scheduling, and Metrology to ensure timely pick up, shipment, and receipt of instruments
  • Ensure timely receipt and review of necessary documents from vendors, including maintenance service reports and quotes
  • Communicate with vendors, Procurement, and Finance to address any financial issues
  • Document all activities clearly and concisely in a computer maintenance management system such as SAP
  • Utilize computer maintenance management system to manage work order queue and collaborate with Instrumentation to review vendor service documents and close work orders
