About The Position

Ecology Auto Parts, Inc. is seeking a Service Writer to join our Bloomington shop and serve as a key operational and administrative hub between customers, technicians, and management. This role is responsible for accurately documenting service requests, preparing work orders, coordinating workflow, and maintaining clear communication throughout the repair and service process. The Service Writer plays a critical role in ensuring efficient shop operations, high-quality customer service, and accurate data entry across internal systems. The ideal candidate will possess strong computer proficiency, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced, hands-on shop environment. This position requires professionalism, attention to detail, and a customer-focused mindset while supporting technicians and leadership with timely and accurate information.

Requirements

  • High school diploma or equivalent required; additional technical or administrative education is a plus.
  • Previous experience in a service writer, service advisor, administrative, or shop support role preferred.
  • Strong computer skills are essential, including proficiency with data entry, email, spreadsheets, and basic reporting tools.
  • Ability to quickly learn and navigate shop management or service tracking software.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Demonstrated attention to detail and accuracy in documentation and data entry.
  • Ability to work independently while also collaborating effectively with technicians and management.
  • Professional demeanor with a customer-service-oriented mindset.
  • Comfort working in an industrial or shop environment.

Responsibilities

  • Serve as the primary point of contact for customers regarding service inquiries, work orders, and job status updates.
  • Accurately create, update, and manage service work orders using internal computer systems.
  • Enter service details, labor notes, parts usage, and completion updates with precision and consistency.
  • Coordinate workflow between technicians, yard staff, and management to ensure efficient job execution.
  • Communicate service timelines, delays, and completion status clearly and professionally to customers and internal stakeholders.
  • Maintain organized digital and physical records related to service jobs, invoices, and documentation.
  • Assist with scheduling service work and prioritizing jobs based on operational needs.
  • Support inventory tracking and parts coordination as it relates to service work orders.
  • Ensure compliance with company policies, safety standards, and operational procedures.
  • Utilize computer systems, spreadsheets, and shop software to support daily operations and reporting.
  • Assist shop leadership with administrative tasks, reporting, and special projects as assigned.
  • Contribute to continuous improvement of service documentation, communication processes, and operational efficiency.
