About The Position

Under general supervision, performs customer service and clerical duties requiring a sound knowledge of organizational and/or departmental procedures related to the work performed. ESSENTIAL JOB FUNCTIONS Enter/verify data comprising daily Incident Reports and/or Inspection Reports and perform related duties including corresponding with Fire Department Operations and Prevention personnel, distributing and filing reports. Issue a variety of permits and inform appropriate personnel of their issuance; generate invoices, receive money from the public and maintain appropriate records and documentation. Answer the telephone, direct calls and disseminate routine information, answer routine inquiries and assist visitors by determining the nature of their business and directing them to most appropriate staff. Enter/verify data related to business registrations, permit applications and Fire Department Certificate of Occupancy inspections. OTHER JOB FUNCTIONS Distribute mail. Respond to Open Records Requests. Notarize documents for inspectors and investigators. Prepare daily deposit and/or deliver such to the appropriate City location. Assist or substitute in the preparation of payroll. On a nontypical basis, may perform other additional duties not listed in this description that are in alignment with the scope of essential job functions.

Requirements

  • Knowledge of modern office methods, procedures and equipment.
  • Knowledge of proper English, spelling and punctuation.
  • Skill in processing and/or verifying routine documents.
  • Skill in alpha and/or numeric filing
  • Skill in communicating with city employees and the public by oral and written means.
  • Ability to enter data to PC.
  • Ability to count money and give correct change.
  • Ability to work independent of specific instruction.
  • Ability to perform a variety of physical activities including but not limited to seeing, sorting, filing, typing and writing.
  • Ability to receive detailed information through oral communication and make fine discriminations in sound.
  • Ability to operate a variety of office equipment including, but not limited to telephone, fax, PC, printer, calculator, and copier.
  • High School Diploma and/or General Education Diploma (GED).
  • Two years related clerical, data entry and/or customer service experience.

Nice To Haves

  • Experience working with building inspectors
  • Experience handling money and making change
  • Bilingual in Spanish
