About The Position

The Service Project Coordinator is responsible for scheduling projects and communicate with customers on schedule. They are influencing a project by embedding efficient construction intelligence into our shop/fabrication drawings and be a cost effective decision maker.

  • Detail-oriented and willing to tackle various ongoing projects in a fast-paced environment.
  • Versed in the industry and the Company's competitors.
  • Ability to multitask and perform duties outside of the scope of work when necessary.

Responsibilities

  • Inputs billing for all Projects and makes collections calls.
  • Provides daily support to the Service Projects Team to ensure that all project requirements are met.
  • Assists Service Coordinator as needed.
  • Scheduling of Install Technicians.
  • Verifying job completion and accuracy of technician trip notes.
  • Payroll.
  • Inbound/outbound phone calls.
  • Data entry and various administrative tasks.
  • Provides outstanding customer service to our customers.
  • Processes and issues monthly maintenance invoices.
  • Makes collection calls for past-due invoices on a weekly basis.
  • Creating POs for equipment and materials.
  • Prepares, edits, formats, and coordinates specifications and request for proposals for projects in order to ensure compliance with project requirements, acceptable standards, existing laws, rules, regulations, and codes.
  • Works with managers, in order to compile specifications, assist in coordination between disciplines, and ensure consistency.
  • Documents all project issues during the construction phase including scope changes, coordination problems, construction document changes, construction document interpretations, etc.
  • Processes change orders, responses to RFI's and submittal comments.
  • Pulls all permits
  • Maintains project tracking databases.
  • Updates workload schedule for teams to coordinate all workflow.
  • Prepares reports for Team to show utilization, project status, project performance, etc.
