We are looking for a Service Operations Coordinator to join the US team in Teaneck, New Jersey. This role is part of the Customer and Dealership Relations department and will serve as a key facilitator in ensuring efficient execution of daily operations within the Support Department. This position involves coordinating various operational tasks, supporting departmental initiatives, and facilitating collaboration and communication across teams to optimize productivity and achieve organizational goals and objectives.

Requirements

  • Minimum 3 years proven experience in operations coordination, administrative support, or a similar role.
  • Great communication skills, including effective communication with clients over email.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects effectively in a high paced environment.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively across departments.
  • Ability to adapt to changing priorities and thrive in fast-paced environment.
  • Proficiency in Google Suite, ERP system, Freshdesk/Zendesk or similar ticketing system and project management systems (Asana, Monday or similar).
  • Actively promote a culture of positivity, resilience, and optimism through words, actions and behaviors.

Responsibilities

  • Responsible for parts and shipping logistics using our ERP, while maintaining ongoing communication with clients and field engineers in a changing environment.
  • Manage field team’s travel and expense budgets, and be the POC for any travel or logistical team need.
  • Generate quotes and Sales orders while ensuring the ongoing progress of each to maintain high service level.
  • Own communications with customers through Freshdesk while managing ticket queue, and team’s workflow.
  • Work closely with the operations department to ensure replenishment activities and streamlined supply chain of Service dept. needs.
  • Support product development and research initiatives by assisting with planning, resource allocation, communications with the R&D and engineering teams, and monitoring project progress.
  • Assist in identifying opportunities for operational improvements, streamlining workflows, and implementing best practices to enhance efficiency and effectiveness.
