What this job involves: The Service Maintenance Manager (SM) oversees a staff of maintenance technicians, groundskeepers and housekeepers, etc. Responsible for implementing training platforms, preventive maintenance programs and regular schedules for the onsite personnel and properties. Assists in taking care of day-to-day tasks onsite, such as work orders, reports and handles maintenance contracts, vendor bids and evaluations, and oversees compliance with all JLL policies, applicable laws, and ordinances including Fair Housing and Equal Employment laws. Ensures the Property is maintained in a manner consistent with established standards and objectives. The SM will perform duties of subordinates during times of unfilled positions, if necessary.

Requirements

  • High school diploma or equivalent
  • EPA Universal CFC certification required
  • Minimum of five (5) years of plumbing, electrical, mechanical, drywall repairs, carpentry, and/or pool/spa maintenance experience. Minimum of two (2) years’ service and supervisory experience or equivalent
  • Financial acumen/experience writing and maintaining budgets; general understanding of accounting principles
  • Proficient in property management software (Yardi, RealPage) or other similar property management software
  • Excellent customer service skills while maintaining the highest standards of professionalism
  • May be required to possess a valid driver’s license to drive a company vehicle
  • This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.

Responsibilities

  • Plan and direct the activities of the service team. Partner with property manager regarding all aspects of the employment cycle – interviewing, training, developing, mentoring, leading, coaching and managing a high-performing, cohesive team to maximize engagement and minimize turnover in accordance with company policy and procedure. Ensure adequate/appropriate staffing
  • Maintain and manage vendor relationships. Handle maintenance contracts, vendor bids and evaluations
  • Ensure service requests are assigned to appropriate service team member and completed professionally and accurately. Schedule appropriate vendor if necessary. Sign off on service requests completed by service team member. Escalate problems or issues to property manager if unable to resolve within a certain time period
  • Oversee community appearance and cleanliness in daily operations. Complete premises inspections daily. Coordinate with appropriate vendor(s) to ensure asset is properly maintained
  • Update, execute and document preventive maintenance schedule on a regular basis and advise community manager of status
  • Ensure apartments are ready for occupancy by overseeing and scheduling all facets of the make ready process in accordance with leasing needs. This includes but is not limited to move out/move in inspections, electrical, HVAC, plumbing, carpentry, appliance repair, carpet cleaning/replacement, painting, equipment maintenance, preventive maintenance and cleaning
  • Maintain life safety equipment including but not limited to fire pumps, sprinklers, emergency generators, fire panels, smoke detectors, CO detectors, etc. Test equipment as required
  • Document and maintain accurate and detailed maintenance records; including equipment replacement and repairs, appliance, carpet and vinyl replacements, apartment painting, refrigerator coil cleaning, and carbon monoxide checks
  • Identify capital improvements and report to community manager
  • Assist community manager in preparing the property’s budget for normal maintenance operations and recommend property upgrades and capital improvements. Monitor the budget and plan purchases and contracted services in accordance with approved budgetary guidelines
  • Ensure daily pool/spa inspections (in season if applicable) are completed, proper water chemistry and cleanliness of pool/spa area are maintained and needed repairs or improvements are completed
  • Adhere to all local, state and federal laws including all laws governing Fair Housing and safety procedures including OSHA requirements
  • Other projects and tasks to be assigned
