The HVAC Service Coordinator supports the Service Department by coordinating technician recommendations, building customer quotes, ordering parts, and helping move service work from identification to completion. This role acts as the communication hub between service technicians, customers, vendors, and service leadership to ensure service work is quoted accurately, approved efficiently, and executed smoothly. This position is primarily office-based and focuses on organization, responsiveness, and follow-through. Requirements

  • High school diploma or equivalent.
  • Experience in HVAC service, mechanical trades, or service coordination preferred
  • Working knowledge of HVAC systems and service terminology (or ability to learn quickly)
  • Strong organizational and multitasking skills
  • Clear written and verbal communication
  • Comfortable using service management software and basic office tools
  • Fluent English written and verbal skills.

Responsibilities

  • Service Quoting & Customer Coordination Receive repair and replacement recommendations from HVAC service technician.
  • Build clear, accurate, and professional quotes for customer.
  • Verify scope, labor, and material requirements prior to issuing quotes
  • Communicate with customers to explain quotes and answer basic questions
  • Follow up on open quotes to help drive timely approvals Parts & Materials Coordination Identify, price, and order HVAC parts and materials for approved service work.
  • Coordinate with vendors on availability, lead times, and pricing.
  • Track parts orders and ensure materials are ready for scheduled service work.
  • Communicate parts status or delays to technicians and service leadership Technician & Field Support Serve as a primary point of contact for technicians regarding quotes and parts Assist technicians with part identification and pricing when needed Reduce technician administrative workload by handling quotes and ordering Help ensure consistency in how service recommendations are presented to customers Administrative & Systems Support Enter and maintain service quotes, approvals, and job information in the service management system Ensure documentation is complete for billing and job closeout Support service leadership with visibility into open quotes and backlog Maintain organized vendor pricing and commonly used parts information
