About The Position

RLP Mechanical is hiring an experienced Service Coordinator to support our growing commercial HVAC and refrigeration service department in the Dallas–Fort Worth area. This role is critical to keeping our service operations running smoothly. You’ll coordinate service documentation, support technicians and dispatch, process work orders, and ensure accurate billing and communication between our team and our customers. If you have experience coordinating service work in HVAC, refrigeration, plumbing, or mechanical construction service environments, we want to talk with you.

Requirements

  • 3–6+ years of Service Coordinator experience in commercial HVAC, refrigeration, or mechanical services
  • Experience reviewing technician service tickets and invoices
  • Strong attention to detail and organization skills
  • Professional communication and customer service ability
  • Valid Texas driver’s license with a clean driving record

Nice To Haves

  • Previous dispatch or service scheduling experience preferred
  • Background in billing, accounts receivable, or service administration preferred

Responsibilities

  • Process and complete service work orders within 24–48 hours
  • Verify technician labor hours, materials, and documentation
  • Ensure service tickets are accurate before invoicing
  • Send invoices over $2,000 to the Service Manager for approval
  • Coordinate with technicians and dispatch to resolve discrepancies
  • Prepare service-related quotes generated from completed service calls
  • Submit quotes to the Service Manager for approval
  • Communicate approved quotes to customers when directed
  • Verify technician timesheets daily before weekly payroll submission
  • Assist with technician scheduling and on-call rotations (planned 3 months in advance)
  • Pull permits when required and ensure compliance with local regulations
  • Follow up on past-due customer invoices
  • Communicate with customers regarding outstanding balances
  • Place accounts on hold after 90 days without payment
  • Escalate collection issues to the Service Manager when necessary
