Requirements

  • Minimum of 3 years of customer service experience required, along with 3 years of scheduling, dispatching, or service coordination experience.
  • High school diploma required.
  • Operations-minded: Handles shifting schedules, improves processes, and raises issues before they become problems.
  • Relationship-focused: Enjoys building and maintaining strong relationships with customers, technicians, and coworkers.
  • Leadership Exposure: Comfortable working directly with the CEO on projects and initiatives that support company growth.
  • Computer Savvy: Proficient with basic computer tools, including Microsoft Office.
  • Adaptable: Thrives in a role with variety and shifting priorities.
  • Work Environment: Able to sit for most of the workday while managing phones, scheduling systems, and computer-based tasks.

Nice To Haves

  • Experience with ServiceTitan, QuickBooks Online, or dispatch software is a plus.

Responsibilities

  • Answer customer calls and messages and serve as the main point of contact.
  • Manage & adjust the daily service schedule for 4-8 technicians.
  • Track technician locations, job status, and progress throughout the day.
  • Fill schedule gaps and coordinate follow-up or incomplete jobs.
  • Maintain accurate customer, job, and invoice records in the dispatch system.
  • Complete post-service follow-up calls and document results.
  • Prepare completed jobs for billing and coordinate invoice questions as directed.
  • Coordinate parts ordering and support service leadership with daily operations.
