GENERAL PURPOSE: Relieves departments and management of clerical work and administrative and business detail by performing the following duties: ESSENTIAL DUTIES & RESPONSIBILITIES: Directs other admin and their daily jobs providing support and training Performs office operations and procedures to include information management i.e. setting up customers in Servizio; setting up Time & Material Orders in Servizio, creating jobs from contracts that come in with outage in patrols. Understand the commission policy Create commission documents for approval. Maximizes office productivity through proficient use of software applications Facilitates the flow of information to allow for efficient coordination of business activities from initial customer contact to sending it to the Service Operations team to complete the work. Reviews completed Maintenance jobs to ensure that time & materials have transferred to the job order in Netsuite. Create maintenance and service other estimates and proposals. Set up contract renewals and send out to reps. Post volume and commission Gather documents from service techs, build and create time & material invoices, set up maintenance agreements for billing, complete down payment and final billing on service other. Enter invoices in billing portals as required. Close job orders ensuring that the 1303 accounts clear correctly and making adjustments to the closing JEY to correct. Inventory Bin Adjustments as necessary Journal entries as necessary Credit Memos as necessary Monthly close down maintenance jobs where the contract has expired. Check for any maintenance/extended warranty agreements that did not bill and should have. Ensure that payroll is correct and other pay amounts are calculated Creates records to ensure completeness, accuracy, and timeliness Applies good customer service skills MARGINAL DUTIES & RESPONSIBILITIES: Perform receptionist duties, greets customers, and distributes mail Performs other functions as necessary or as assigned NATURE OF WORK CONTACTS: Interacts daily with employees in the office and the field to provide administrative support; may discuss and resolve customer issues and business matters Interacts regularly with customers both in-person and on the telephone to answer customer questions, resolve issues, and to coordinate payment
