About The Position

The Service Administrative Assistant at Team Chevrolet is responsible for providing comprehensive administrative support to the service department. This role ensures smooth operation by managing various clerical tasks, facilitating communication, and assisting in the coordination of service activities to enhance customer satisfaction and operational efficiency.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 2 years of experience in an administrative support role, preferably within the automotive industry.
  • Proven track record of managing multiple tasks and priorities in a fast-paced environment.
  • Experience with customer service and client interaction is essential.
  • Strong organizational skills with the ability to manage and prioritize tasks efficiently.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment and technology.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently as well as collaboratively within a team environment.
  • Demonstrated ability to provide exceptional customer service and maintain positive client relationships.

Responsibilities

  • Serve as the primary point of contact for customers, addressing inquiries, scheduling service appointments, and ensuring a high level of customer service.
  • Manage and maintain service department records, including customer files, service logs, and inventory documentation.
  • Coordinate with service technicians and other staff to ensure timely and efficient service delivery.
  • Prepare and process service-related documents such as work orders, invoices, and warranty claims.
  • Assist in tracking and ordering parts and supplies necessary for service operations.
  • Support the service manager in daily administrative tasks and special projects as needed.
  • Facilitate communication between customers and service staff to ensure clear understanding and resolution of service issues.
  • Maintain a clean and organized work environment to promote a professional and welcoming atmosphere for customers and staff.
  • Utilize dealership software and systems to update and retrieve customer and service information accurately.
  • Participate in team meetings and contribute to continuous improvement initiatives within the service department.
