About The Position

The Senior U.S. and Canada Payroll Specialist is responsible for managing and processing payroll for employees across the United States and Canada, ensuring accuracy, compliance, and timely delivery. This role requires in-depth knowledge of federal, state, and provincial payroll regulations, tax laws, and reporting requirements. The specialist will collaborate closely with HR, finance, and external vendors to resolve payroll issues, implement process improvements, and maintain confidential employee data.

Requirements

  • Bachelor’s degree in Accounting, Finance, Human Resources, or related field.
  • 5+ years of payroll experience with a focus on U.S. and Canadian payroll processing.
  • Extensive experience with HR and payroll platforms and related software (such as Oracle HCM, ADP Celergo, Ceridian Dayforce, and Oracle Finance).
  • Strong knowledge of federal, state, and provincial payroll laws and tax regulations.
  • Proficient in communicating effectively in both English and French.
  • Excellent analytical, problem-solving, and communication skills.
  • Advanced global payroll SOX compliance experience.
  • Ability to work effectively in a fast-paced, dynamic environment, and manage multiple projects within different geographic regions simultaneously.
  • High level of integrity and commitment to maintaining confidentiality.
  • Proven ability to work effectively in a team-oriented environment.
  • Advanced proficiency in Excel.
  • Flexible schedule to accommodate payroll deadlines and country-specific requirements.
  • Collaboration with global and regional teams.

Nice To Haves

  • Canadian Payroll Association (CPA) certification (PCM/PCP) or American Payroll Association (APA) certification (CPP) is highly preferred.

Responsibilities

  • Responsible for processing semi-monthly payrolls for U.S. and Canadian employees, including hourly and salary staff, ensuring accuracy.
  • Maintain payroll records, including timesheets, salary adjustments, bonuses, and deductions.
  • Ensure compliance with U.S. (federal/state) and Canadian (federal/provincial) tax laws, payroll regulations, and labor standards.
  • Prepare, reconcile, and file year-end employee tax forms (W-2s, T4s) and submit required government filings.
  • Review employee records for accuracy, including onboarding data, salary adjustments, and benefits deductions.
  • Collaborate with HR and Finance teams to ensure seamless integration of payroll data and resolve discrepancies.
  • Coordinate with external payroll vendors and government agencies as needed for audits, filings, or inquiries.
  • Support internal and external audits by providing necessary documentation and explanations.
  • Utilize HR and payroll systems to manage payroll, run reports, and ensure data integrity.
  • Respond to employee inquiries regarding payroll, benefits, and taxation, providing clear and accurate information.
  • Maintain payroll records and documentation in accordance with legal requirements and company policies.
  • Stay current with changes in payroll laws and regulations for both countries.
  • Assist with audits, reporting, and implementation of payroll system upgrades or process improvements.
