About The Position

Imagine360 is seeking a Senior Sales and Marketing Coordinator to join the team! The position of Sales and Marketing Executive Assistant will perform a variety of administrative and coordination tasks to support the Sales and Marketing Teams. The successful candidate will assist by facilitating meeting scheduling and logistic coordination, meeting documentation/follow-up requests, and other critical tasks. This person will interact and engage with all levels within the Sales and Marketing teams and will need to work closely with other support functions across the organization and effectively communicate with outside stakeholders and clients. The ideal candidate for this role is someone with demonstrated experience in an executive support role who can handle multiple priorities, in a fast-paced environment and can engage professionally across all levels both internally and external to the organization. Position Location: 100% remote

Requirements

  • Undergraduate degree
  • 6+ years of relevant work experience.
  • 3+ years administrative experience required.
  • Outlook experience required.
  • Working knowledge of computers and software including but not limited to Microsoft Office products.
  • Proficient 10-key and typing skills.
  • Demonstrated organizational, problem-solving, and analytical skills.
  • Strong written, oral, and telephonic communication skills.
  • Demonstrated ability to work independently, be detail oriented, prioritize workloads, multi-task and manage priorities in order to meet deadlines.

Responsibilities

  • Assist with meeting details and documentation for key meetings including Monthly Sales Meetings, Sales Leadership meetings, Prospect Site visits, and Broker engagements. This includes organizing meeting details/location, sending invitations/calendar appointments, compiling agendas, PowerPoint presentations, and other meeting materials as required.
  • Document meeting outcomes, deliverables and task owners. Compile follow-up status by contacting task owners for updates.
  • Coordinate availability and schedule virtual meetings via Outlook and Zoom/Teams. Less frequently, coordinate and schedule in-person meetings at any of Imagine360's office locations and ensure meeting logistics (facilities, meals, transportation, materials, etc.) have been provided. This can involve directly coordinating with resources or working with other I360 Team members.
  • Set up and manage electronic filing systems using SharePoint and Salesforce; recording information, updating paperwork, maintaining documents and records. Also, take notes in OneNote and update project plans in Excel.
  • Assist with data entry in Salesforce to document key events and activity.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Creates proper urgency when needed.
  • Assist SVP of Sales and SVP of Marketing by managing calendar, inbox and assisting with travel arrangements.
  • Assist in the creation of weekly and monthly reports by compiling and updating status documents and gathering inputs from across the Sales Team.
  • Assist with enterprise client and broker event planning and annual holiday gift giving and other gift giving as advised (i.e.: top broker gift coordination).
  • Independently completes special projects and assignments as assigned by the Sales Leadership Team.
  • Other administrative duties as assigned.
