About The Position

The Senior Patient Services Representative (PSR) at the Ear, Nose & Throat Clinic is responsible for coordinating the schedules of patients in both in-patient and out-patient settings, while providing clerical assistance to ensure the smooth operation of the facility. This full-time position operates from 8 AM to 5 PM and involves various essential responsibilities including scheduling appointments, managing patient check-in and check-out processes, and maintaining patient records. The role requires effective communication with patients and staff, as well as a commitment to maintaining patient confidentiality and promoting a team-oriented environment.

Requirements

  • 1.5 years of experience in customer service required, including at least 6 months in a clinical environment.
  • Equivalent combination of education and experience may be considered.
  • Good verbal and written communication skills.
  • Customer service skills.
  • Interpersonal skills to work effectively with employees, patients, and external parties.
  • Proficient with Microsoft Office tools.

Responsibilities

  • Schedules patient appointments, either by telephone or in person.
  • Provides information about clinic operations.
  • Obtains and updates patient demographics.
  • Answers telephone calls and distributes them appropriately.
  • Prepares and enters healthcare providers’ schedules into the computer.
  • Coordinates schedules for patients requiring multiple services.
  • Greets patients upon arrival and manages check-in processes.
  • Accepts payments and writes receipts.
  • Totals encounter forms and inspects for completeness and accuracy.
  • Codes procedures and diagnoses.
  • Ensures signatures are on encounter forms and charts.
  • Copies insurance cards and distributes them appropriately.
  • Prepares encounter forms and billing packets for patients.
  • Balances and closes cash box daily.
  • Prepares ancillary forms for other services.
  • Prints and faxes physician schedules to offices.
  • Pulls patient charts for appointments and files lab/x-ray information.
  • Copies medical records for patients and other providers.
  • Files patient charts and prepares inactive charts for storage.
  • Maintains a log of charts in storage and secures needed charts.
  • Replaces torn charts and makes new patient charts.
  • Requests medical records from other facilities.
  • Verifies insurance eligibility and secures referrals for HMO patients.
  • Collects and verifies proof of income for sliding scale discounts.
  • Dispenses supplies and notifies when supplies are low.
  • Types notes and letters for physicians as needed.
  • Logs mail receipts and sorts/distributes mail.
  • Communicates professionally with patients and co-workers.
  • Enhances professional growth through in-service meetings and education programs.
  • Maintains patient confidentiality.
