We are seeking Sr. Project Support Specialist to provide Full-Time on-site support for Office of General Counsel at NASA, Headquarters in Washington, DC, on a NASA contract.

Requirements

  • Ability to work on site 5 days a week, during normal business hours.
  • Responsible for communicating project status and issues to customers and leadership as they arise.
  • Outstanding, proactive, customer service skills with the ability to anticipate needs and create efficient process flows.
  • Must have excellent oral, written, and interpersonal communication skills. Able to work with executive-level customers and leadership.
  • Strong working knowledge of Microsoft Word, Excel PowerPoint, and Outlook.
  • Must have the ability to balance multiple priorities and produce quality work efficiently.
  • Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA HQ. Extensive background investigation will be performed as a requirement of the job.
  • Some travel may be required.

Responsibilities

  • Provide high quality customer service to high level executives at the Office of General Counsel at NASA Headquarters.
  • Provide writing support as needed on a variety of documents.
  • Coordinate meetings/appointments/conferences and arrange for appropriate equipment.
  • Prepare agendas, attend meetings as requested, and report back status.
  • Manage shared calendars for one or more Executives as needed.
  • Help coordinate, plan, and execute office moves to include phone moves, IT coordination, list updates, key requests, door sign requests, and excess requests.
  • Maintain office supply inventories.
  • Coordinate logistics for travel to include protocol and multiple legs of trips.
  • Prepare, process, and coordinate approval for purchase request and other documents.
  • Prepare standard presentation packages for NASA Executives as well as specialty presentations to include gathering input and formatting for consistency.
  • Develop and document internal workflows for efficiency.
  • Prepare and route official NASA correspondence documents as per NASA HQ standards and directives.
  • Maintain and update electronic files, records, and data.
  • Proactively interface with all levels of management and other program team members to ensure the Directorate has all levels of administrative support covered.
  • Additional duties as requested. May lead others in complex assignments.
